Richemont one of the worl most prestigous luxury groups, is searching for a Business Coordinator to join Mexico HQ.

 

Main Purpose: 

 

The Business Coordinator and Executive Assistant provides direct support to the Mexico General Manager in the analysis of the company’s commercial and operational performance in the country and in the implementation and follow up of Internal controls.

Yo will provide suport on specific adhoc projects (commercial or operational) across the country, occasionally acting as project leader.

You will provide admisitrative support to the Mexico General Manager.

 

KEY RESPONSABILITIES

 

  1. Market Intelligence
  • Identifies and collects the needs of the Maisons in terms of market intelligence, defines and implements a plan to address those needs through the collection and presentation of relevant data.
  • Develop analysis and understanding of the relationship between the performance of Richemont Maisons in Mexico and key macro-economic indicators and other external parameters (tourism data, Swiss watch export, inflation, F/X rata, …)

 

  1. Master data management / Legal matters
  • Key user and Finance Approver for the creation / modification / extension of suppliers and customers into the system, training to the users, manage the matrix of approval
  • Responsible to manage the contracts database
  • Conduct review of all legal agreements to be maintained for Mexico.
  • Assist the brands in legal process for every agreement:
  • Preparation and follow up of distribution Agreements (Btq, SIS, Distrib, events);
  • Preparation of termination letters.
  • Coordinate signature from GM & CFO
  • Help with Richemont Legal information (RFC; Acta Constitutiva; Poderes; Passports)

 

 

  1. Internal Control / Operational Tasks
  • Prepare weekly / monthly files: consignation, tax supplier compliance
  • Monthly controls to execute: T&E review, Gifts & Gratuities review
  • Quarterly controls: Clients margins and vendor duplicates
  • F35: Report to the SAT the benefits above a certain amount on a monthly basis
  • Maintain up to date the leases database + execute the monthly posting
  • Redact / translate / update policies
  • Assist to different cycle counts (Logistics, Customer Service): four-eyes principles
  • ICS controls: revision from the group of our internal processes
  • In charge of yearly reports requested by Group

 

  1. ICS RBO SUPPORT
  • Support the Retail Back Office team during audits on Internal Boutiques
  • Draft of the audit reports and follow up

 

  1. Adhoc projects
  • With other Richemont functions and / or Maisons participates in and provides support to specific multi-functional projects taking place Mexico.
  • Support when external audit

 

  1. Administrative Support to Managing Director

Provides administrative support to the Mexico General manager:

  • Organizes meetings and events
  • Arranges travel plans and reservations. Prepares expenses report.
  • Assists in the preparation of meetings and presentations (consolidation and analysis of data), prepares and distributes minutes of meetings or any other relevant documentation.
  • Draft correspondence or other required documentation and follow up on specific matters
  • Send invoices to payment, proof of payments
  • Screen incoming calls and correspondence and respond independently when possible.

 

  1. Finance Support
  • In charge of the local Finance Sharepoint site
