Job Purpose:


The University Registrar is responsible for ensuring the integrity, accuracy, and confidentiality of student academic records, and complying with all University and registrarial policies, procedures, and services.

The Registrar leads a comprehensive team that provides academic services to multiple University constituencies, including students, faculty, and staff.

The Registrar is responsible for oversight management of the student information system, Ellucian Banner and Degree Works for the Office of the Registrar.


Essential Duties:
– Duties include administering processes for registration, grade submission, master course schedule, and multiple instructional delivery modes; classroom assignment, final examination schedule, undergraduate transfer credit, degree audits, commencement, academic history and official transcripts, diplomas, undergraduate and graduate student processes, curriculum and graduation updates, and other enrollment policy and processes
– Develop effective staffing strategies and plans for the Office of the Registrar that include organizational structure, hiring, supervising, staff development, performance management, coaching, and succession planning; manage budgetary and resource planning; develop goals and objectives in support the University Strategic Plan and the Academic Affairs Division, and evaluate and analyze operational outcomes to inform future improvements
– Consult with deans, student advisors/mentors, faculty, administrators, staff and committees to inform, interpret and administer equitable application of academic policies and standards to student-specific situations, curriculum implementations and rising program initiatives across colleges; foster institutional traditions and consistent student information to support stable data-based decisions

  • Create, manage and promote a student centric academic service center that provides transcript, enrollment, grades and degree verification services; IT support and "how to" guidance and training with University resources, Banner Self Service functions through the my.
scranton portal for students and faculty; web-accessible academic orientation for graduate and undergraduate students; provide effective information through the registrar and commencement webpages
– Manage Banner system-based academic processes including but not limited to the online course schedule; web registration, interface with students and academic advising; grade processing; Banner term infrastructures and enrollment control mechanisms; implementation of authorized curriculum in Banner; academic calendars; incoming freshman registration setup; instructional space assignments; independent studies and other ad hoc course registrations
– Provide guidance to influence partnerships for change around emerging strategies across college, advising, operational and program entities, while leveraging appropriate technologies to increase efficiencies and effectiveness of business processes and practices
– Partner with academic advising centers through provision of program planning/degree audit structures, as well as information underlying student registration, advising and academic progress reviews to ensure student retention and successful graduation rates, guide collaborative and effective problem analysis and solutions
– Manage graduation clearance processes, including certification and award of degrees and Latin honors; provide leadership for the undergraduate and graduate commencement ceremonies
– Leadership for student academic record integrity in accordance with AACRAO professional standards and institutional policies; steward appropriate access to student information within the parameters of FERPA and University policies; manage scanning/indexing of student documents through Banner Xtender; control all student record transcription and credentialing, and foster data integrity for enhanced decisions; manage the transfer credit evaluation process for all students, as well as assignment of other advanced standing credit to student records
– Monitors and facilitates compliance with state and federal regulations in partnership with other University departments, including mandated institutional enrollment/program reporting through NSC and NSLDS , textbook information, and FERPA and other policies related to privacy/student information
– Manages processing of sensitive actions including dean-approved withdrawals, leaves, disciplinary expulsions and suspensions that form the basis for student status and Title IV refunds
– Maintain a collaborative partnership with the offices of Enrollment and Financial Aid, Institutional Planning, Institutional Reporting, Global Education, academic colleges, and others reliant on student records and processes for compliance requirements

Additional Skills Required:
– Demonstrated commitment to a collegial and collaborative leadership style, and leading a service oriented enterprise with particular emphasis on student support and success
– Ability to think strategically, prioritize effectively and act decisively
– Working knowledge of current records, registration and enrollment policies and trends, as well as technological developments as they relate to the operation and academic processes
– Demonstrated ability to effectively supervise and motivate a diverse staff with wide-ranging responsibilities, as well as manage multi-faceted operations and high end concerns that interface with academic advising centers, deans' offices, and other University constituents
– Excellent communication, interpersonal and problem-solving skills, as well as ability to organize, analyze and plan
– Knowledge of professional practice standards endorsed by AACRAO , University academic policy and curricular structures, Middle States, national accreditation and regulatory compliance requirements including but not limited to FERPA and relevant aspects of HEOA
– Must be able to support the University's commitment to fostering a diverse, equitable, and inclusive culture
– Must be able to respect, support and contribute to the University's Catholic and Jesuit mission

Minimum Education Requirements:
– Bachelor's degree required

Preferred Education:
– Master's degree preferred

Minimum Job Experience Requirements:
– Three (3) years of progressive experience as a Registrar or in an Office of the Registrar or a director/manager in a related administrative area within higher education
