Job Title Remote Service Manager & Scheduler – HVAC (100% Work From Home) Location Remote from Latin America Position Type Full-time Salary $1,500 - 2,000 USD/month depending on experience Schedule Monday - Friday, 7:00a.m to 4:00p.m Eastern Time Job Overview We’re seeking an experienced Remote HVAC Service Manager / Scheduler to coordinate daily service operations from a home office. This role is responsible for dispatching technicians, communicating with customers, managing work orders, ordering and tracking parts, and ensuring service calls are properly documented and invoiced. You’ll be the central point of contact keeping the service department organized, responsive, and efficient. Dispatch & Scheduling (Remote) Schedule and dispatch HVAC service technicians using phone, text, and service software Prioritize emergency calls and adjust schedules in real time as changes occur Track technician progress throughout the day and coordinate next steps Ensure technicians have job details, access information, and parts status before arrival Customer Communication Answer inbound service requests, gather details, and schedule appointments Provide clear expectations on arrival windows, pricing process, and next steps Handle customer questions and concerns professionally and promptly Follow up after visits to confirm completion, satisfaction, and any remaining items Work Orders, Documentation & Invoicing Create and manage service tickets/work orders from start to finish Review technician notes/photos and ensure proper documentation for billing Prepare and send invoices; confirm correct pricing, job numbers, and customer info Track open calls and ensure all jobs are closed out quickly and accurately Parts Ordering & Tracking Order parts/materials required for repairs, warranty work, and callbacks Track lead times, backorders, deliveries, and coordinate pickups/shipping Maintain accurate records of parts ordered/used per job and associated costs Communicate status updates to technicians and customers when parts affect scheduling Follow-Up & Service Coordination Manage callbacks, warranty items, and incomplete work to ensure timely resolution Keep service logs updated and maintain customer/job history Support technicians with scheduling changes, approvals, and job coordination Provide basic service reporting (daily schedule, backlog, parts status, open tickets) Qualifications, Skills, and Key Competencies 3+ years in HVAC dispatching, service coordination, or service management (preferred) Strong understanding of HVAC service workflows (maintenance, repairs, diagnostics) Excellent phone skills and customer service mindset Highly organized with strong follow-through and attention to detail Comfortable handling multiple priorities and urgent situations calmly Confident using scheduling/invoicing tools (ServiceTitan, Housecall Pro, FieldEdge, QuickBooks, or similar—nice to have) Remote Work Requirements Reliable high-speed internet and a quiet, professional home office setup Ability to answer and place calls during scheduled business hours Comfortable working with cloud-based apps, shared calendars, and messaging tools Strong responsiveness—able to coordinate fast when emergencies or schedule changes arise What Success Looks Like Technicians are dispatched efficiently and stay productive Customers get quick scheduling, clear updates, and professional follow-through Parts are ordered accurately and tracked so jobs don’t stall Invoices go out fast with clean documentation and minimal back-and-forth #J-18808-Ljbffr
