We are seeking a detail-oriented and customer-focused Property Manager Assistant to provide administrative and operational support. Responsibilities include tenant relations, maintenance coordination, and financial assistance. Bilingual fluency in English and Spanish, and proven experience with AppFolio property management software, are required.
This Candidate must be highly organized and proactive Property Manager Assistant to support daily property operations and enhance tenant and owner experiences. The ideal candidate is detail-oriented, adaptable, and capable of handling multiple administrative and communication tasks in a fast-paced environment. They should demonstrate strong problem-solving skills, excellent customer service, and the ability to work independently while maintaining seamless collaboration with property managers and team members.
Schedule: Monday - Friday, 8:30 AM - 12:30 PM (4 hours/day), Central Standard Time.
Responsibilities:
- Answer phones, greet visitors (English/Spanish).
- Prepare/distribute communications (English/Spanish).
- Process tenant applications (AppFolio).
- Coordinate maintenance requests (AppFolio).
- Assist with rent collection & payments (AppFolio).
Qualifications:
Required:
- Proven experience with AppFolio.
- Proficient in Microsoft Office Suite.
- Strong organizational and communication skills.
Additional Tasks:
- Answering Phone Calls (Virtual Phone System): Using a cloud-based phone system to answer calls, take messages, or forward to the Property Manager.
- Responding to Email Inquiries: Managing the property management email inbox, answering tenant and vendor inquiries, and escalating complex issues.
- Processing Online Rental Applications: Receiving and processing online rental applications, conducting initial screenings, and verifying information using online resources.
- Preparing and Sending Lease Documents (Electronically): Filling out lease agreements and related documents electronically and sending them to tenants for e-signature.
- Scheduling Virtual Property Showings: Coordinating virtual property tours using video conferencing tools.
- Managing Online Maintenance Requests: Receiving maintenance requests through an online portal, creating work orders in the property management software, and communicating with tenants about scheduling.
- Following Up on Maintenance (Remotely): Contacting tenants via phone or email after maintenance work is completed to gather feedback and ensure satisfaction.
- Maintaining Digital Filing Systems: Organizing and maintaining digital files for tenant records, leases, and vendor contracts in a cloud-based storage system.
- Processing Online Rent Payments: Monitoring online rent payment portals, identifying late payments, and generating late notices.
- Researching Vendors and Services Online: Conducting online research to find qualified vendors for maintenance, repairs, and other property services.
- Overseeing and Managing the Calendar: Proactively managing the Property Manager's calendar, scheduling appointments, coordinating meetings, sending reminders, and resolving any scheduling conflicts.
- Screening and Responding to Online Reviews: Monitoring online review sites and responding to tenant reviews and comments in a professional and timely manner.
- Contacting Building Owners (Lead Generation): Calling building owners to inquire if they are interested in property management services or potentially selling their building, and accurately documenting all interactions in a CRM or spreadsheet.
