Job Title: Chief of Staff to the CEO

Position Overview

Farahi Law Firm is looking for a Chief of Staff to work directly with our CEO, who is based in Los Angeles. You will keep the CEO and the firm's leaders organized around what matters most: summarizing key meetings, tracking deadlines and deliverables, reviewing work before it reaches the CEO, and using operational data to spot problems early. You will lead cross-department projects and keep initiatives moving when the CEO is unavailable. This is a strategic execution role, not an administrative one.

Key Responsibilities

CEO partnership and follow-through

  • Join key meetings with the CEO (virtual) and summarize insights, decisions, action items, and owners within 24 hours.

  • Track the CEO's deadlines and commitments, flag conflicts early, and keep him organized on what's due.

  • Review the CEO's inbox at a high level to identify priorities, decisions, and follow-ups, and handle or delegate them.

  • Review first drafts from other teams before they reach the CEO to make sure they meet his expectations.

  • Keep priority initiatives moving when the CEO is unavailable, within agreed decision limits.

Cross-functional coordination

  • Track deliverables owed by department leaders and follow up until they are complete.

  • Work with department heads to keep teams aligned on priorities and deadlines.

  • Identify bottlenecks, dependencies, and risks across departments, and resolve or escalates them.

Data and workforce insight

  • Use operational and workforce management data (staffing, capacity, productivity) to identify problems and support decisions.

  • Turn data into short, clear updates for the CEO.

Strategic projects and problem solving

  • Lead strategic projects from start to finish: scope, timeline, owners, milestones, and deliverables.

  • Take high-level problems from the CEO, gather information, propose practical solutions, and follow through until resolved.

Requirements & Qualifications

Required

  • 8+ years of experience in project or program management, business operations, workforce management, management consulting, or a Chief of Staff role.

  • Hands-on experience with data and workforce management: staffing and capacity planning, productivity metrics, and dashboards.

  • 3+ years working directly with senior executives or business owners.

  • Proven track record leading cross-department projects without direct authority over the people involved.

  • Advanced English (C1 or higher, written and spoken) and fluent Spanish.

  • Strong written communication: able to turn complex situations into clear, short updates, and to give clear feedback on others' work.

  • Available to work hours that overlap with Pacific Time.

  • Proficiency with project management tools, Excel or Google Sheets, and Google Workspace or Microsoft 365.

  • Bachelor's degree in Business, Industrial Engineering, or a related field, or equivalent experience.

  • High discretion with confidential business, client, and case information. A confidentiality agreement is required.

Preferred

  • Previous Chief of Staff or management consulting experience.

  • Workforce management experience in a contact center, BPO, or high-volume service operation.

  • Experience in a professional services firm or a fast-growing company.

  • Experience working with US-based leadership.
