We are seeking a detail-oriented and proactive Operations Specialist to support our client’s process of incorporating new Delaware entities. In this position, you will oversee essential operational tasks, including processing Delaware incorporations, retrieving EINs, ensuring proper execution of corporate operating documents, and issuing founder shares.
You’ll play a crucial role in maintaining accuracy and efficiency, especially in tasks that rely on manual workflows before automation is fully implemented. This role calls for strong organizational skills, keen attention to detail, and the capacity to work independently to keep day-to-day operations running smoothly.
As a member of the operations team, you will maintain compliance, guide clients through the incorporation process, and help refine workflows. This entry-level position is ideal for someone aiming to gain hands-on experience in business formation, banking operations, and compliance. You’ll build expertise in incorporation workflows, IRS EIN processing, and banking application coordination while collaborating with seasoned professionals.

Key Responsibilities
1) Incorporation Operations & Compliance
- Review and process incorporation applications, ensuring companies meet eligibility criteria (tech-focused, non-LLC) and align with operational workflows.
- Generate and manage incorporation documents through the client’s platform, confirming accuracy before submission to government agencies (IRS) and Delaware partners.
- Track and organize outgoing and incoming documents, verifying that filings are processed correctly and securely stored.
- Upload and maintain incorporation records—including EIN letters and state filings—in Google Drive and internal databases.
- Manage customer communications by sending structured email updates at each stage of the incorporation process.
- Contact the IRS to retrieve EINs for faxed applications, ensuring timely receipt and resolving any processing issues.
- Apply sound judgment in routine operational decisions, following predefined workflows. For non-standard cases or potential risks, escalate issues to senior team members.
2) Banking Application Support
- Facilitate the new bank account application process by handling routine client outreach for required materials and documentation.
- Ensure clients meet banking criteria, guiding them through necessary steps and reinforcing requirements.
- Verify and submit EIN documentation to banking partners, ensuring compliance and accuracy.
- Monitor application progress, proactively following up with clients and banking partners to maintain momentum.
- Escalate complex banking-related issues—such as missing documentation, compliance concerns, or processing delays—to senior team members.
3) Process Optimization & Document Management
- Continuously evaluate and refine operational workflows to improve efficiency and reduce manual tasks, escalating any proposed changes for review before implementation.
- Keep process documentation current, reflecting workflow changes for future automation and for onboarding new team members.
- Organize and maintain digital records, ensuring secure, structured document management in Google Drive.
- Collaborate with internal teams to identify operational challenges and suggest scalable solutions.
4) Required Qualifications
- Entry-level position: 1–2 years of experience in customer service, administrative support, or operations is required (no prior experience in incorporation or banking is necessary).
- Strong organizational skills to manage multiple workflows and meet deadlines.
- Keen attention to detail to handle and verify critical documents, ensuring accuracy and compliance.
- Proactive mindset with the ability to anticipate and address operational challenges before they become blockers.
- Document management proficiency in PDF editors, e-signature platforms (e.g., DocuSign), and cloud-based productivity tools.
