**About this position**
The executive assistant and office lead
- Mexico will provide administrative support for the Mexico GM and the Operations Director; in addition to minutes keeping, filing, and scheduling, the individual will perform duties such as travel management, visitors hosting, financial record keeping, coordination of meetings and conferences, obtaining supplies, prioritizing tasks and basic project management operations. Independent judgment is required to plan, prioritize, and organize a diversified workload. Recommends changes in office practices or procedures.

**What you'll do**
- You schedule and organize complex activities such as meetings, travel, and department activities for all department members. Maintain the calendar for designated staff.
- You fill and supervise travel expense records for the office, the GM, and the operations director.
- You establish, develop, maintain and update the filing system for the Mexico office. Retrieve information from files when needed.
- You organize and prioritize large volumes of information and calls. Make travel/meeting arrangements.
- You answer phones for designated staff. Takes messages or fields/answers all routine and non-routine questions.
- You act as a liaison with other departments and outside agencies, including high-level staff such as CEOs and executive team leaders. Handle confidential and non-routine information.
- You create and design general correspondence, memos, charts, tables, business plans, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes.
- You conserve General Manager's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications when required.
- You support General Manager in managing department budget (s).
- You maintain office supplies by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders, and verifying receipt of supplies.
- You supervise cleaning personnel and eventual facilities workers.
**You should have**
- Bachelor's in administration or related field & Bilingual English-Spanish
- A recognized qualification in office skills or administration, or a business-related degree.
- 2+ years of providing high-level support
