Transaction Coordinator

Responsibilities:
- Coordinate and manage all aspects of luxury real estate transactions, ensuring strict adherence to contractual agreements and timelines.
- Effectively communication with high-profile clients, real estate agents, title companies, lenders, and building associations and managements to provide updates and gather necessary information and ensure a timely and successful closing for luxury properties.
- Prepare and review transaction documents, including contracts, addendums, and disclosures, ensuring accuracy and completeness.
- Facilitate clear communication between involved parties, proactively resolving any issues or concerns that may arise.
- Schedule and coordinate inspections, and other necessary services to meet the unique needs of luxury transactions.
- Monitor and track key milestones in the transaction process, keeping all parties informed of progress.
- Maintain meticulous and organized transaction files in the system, paying careful attention to the confidentiality and privacy requirements associated with transactions.
- Update the documents and template in the system, download the updated files for common use of each team’s member.
- Be online and respond promptly to the team’s requests, inform them when the contract status is changed.
- Be able to gather, download and organize in the folders the updated files from the new developments’ offices and sales galleries.
- Schedule and organize zoom calls about new development when needed.
- Establish friendly relationships with the agents and sales offices of the new development projects.
- Schedule the showings for the team members, communicate with the real estate agents and organize the appointments convenient and correspondingly.
Qualifications:
1. Prior experience or a real estate license is a plus but not required.
2. Strong organizational and multitasking skills, with a keen attention to detail, especially with documents.
3. Effective communication and interpersonal abilities.
4. Basic proficiency in real estate software and eagerness to learn transaction management systems.
5. Ability to work under pressure and meet deadlines.
6. High school diploma or equivalent; pursuing a Bachelor’s degree in business, real estate, hospitality managementor a related field is welcomed.
