We are seeking a highly skilled and experienced Office Administrator and Financial Project Coordinator to join our team at Ramboll Group A/S. As a key member of our Environment & Health division, you will be responsible for providing administrative and financial support to our project teams.
Key Responsibilities- Provide day-to-day administrative support to project teams, including preparation and review of financial documents, project accounting activities, and technical document review.
- Assist in the setup and maintenance of project records, including project creation, billing, and invoice management.
- Oversee and ensure accurate and timely payment of staff payroll.
- Coordinate and oversee activities of external service providers, including accounting, recruitment, and legal services.
- Ensure compliance with company policies and procedures, particularly in relation to project management.
- Facilitate project reviews to identify risks, follow up on work-in-progress, write-downs, and claims handling.
- Collaborate with project managers to explain deviations to stakeholders and provide financial project management support.
- Train and support project managers on financial project management best practices.
- Engage in project optimization for project controlling support.
- Support human resources activities, including staff work contract management and oversight of accrued vacation time.
- Bachelor's degree in Finance, Accounting, Business Management, or a related field.
- Minimum of 2 years of administrative experience, preferably in a professional services environment, with project controlling experience.
- Proven administrative, organizational, and time management skills.
- MS Office experience required, with proficiency in Word, Excel, PowerPoint, and Outlook.
- Superior oral and written communication skills, with a focus on client service and confidentiality.
- Professional demeanor, with excellent customer service and interpersonal skills.
- Analytical skills, with attention to detail and ability to see the big picture.
- Ability to work well with others, communicate effectively with all levels of management, and work overtime as required.
- Fluency in English and Spanish languages, with excellent English language skills.
- Solid technical writing and review skills.
- Skilled in data entry.
