Job Summary:

We are seeking a highly skilled and experienced Global Trade Coordinator to join our team at Jas Worldwide. As a key member of our operations team, you will be responsible for ensuring the smooth processing and handling of ocean import shipments for our customers.

Key Responsibilities:

  • Receive and track customer bookings/orders, ensuring timely and accurate processing.
  • Send shipping instructions overseas according to customer instructions or established SOPs, maintaining clear communication with all parties involved.
  • Notify customers of arrival and charges, including any delay notices and Customs/Exam holds, and advise applicable charges to the necessary parties.
  • Process Customs Entries, including classification, filing RLF entries, and entering electronic invoices, with a focus on accuracy and attention to detail.
  • Own the process for FDA-related entries, ensuring compliance with regulations and company policies.
  • Review and prepare documentation with accuracy, including Customs classification, IT numbers, commercial invoices, and details.
  • Transmit information to ABI, verify results, and make corrections as necessary, monitoring the release of customs and any OGA as may apply.
  • Check Customs release details and ensure any discrepancies are handled properly.
  • Transmit payment of Customs duties as needed, maintaining accurate records and ensuring timely payment.
  • Manage exceptions with involved parties and customers, ensuring prompt resolution and minimal disruption to operations.
  • Ensure that files contain all necessary document copies in proper sequence, facilitating efficient processing and minimizing errors.
  • Coordinate entry and break bulk shipments, working closely with Sales to ensure a smooth transition from Sales to Operations.
  • Answer all customer requests in accordance with company standards and guidelines, providing exceptional customer service and support.
  • Monitor closely any shipments moving on an IT and provide release, payment, and delivery instructions within the allotted free time.
  • Collect any COD monies owed before arranging delivery to the customer, ensuring timely payment and minimizing delays.
  • Handle and manage all customer contact at file level regarding exceptions, providing clear and concise communication and resolving issues promptly.
  • Ensure the highest level of data quality by processing shipments accurately, maintaining accurate records, and minimizing errors.
  • Provide accurate job costing forecasts, ensuring all payables, receivables, and accruals are set and properly managed per company rules and guidelines.
  • Work with vendors and overseas offices to dispute any incorrect payables at the earliest opportunity, maintaining accurate accounting and minimizing financial risks.
  • Billing/Invoice each file to the respective customers, paying close attention to payment terms for the responsible party.
  • Assure that Original Bill of Lading requirements are met in a timely manner, dispatching freight for delivery and maintaining communication with truckers throughout delivery.

Requirements:

  • Proven experience in global trade, customs clearance, and logistics management.
  • Strong knowledge of customs regulations, laws, and procedures.
  • Excellent communication and interpersonal skills, with the ability to work effectively with customers, vendors, and internal stakeholders.
  • Highly organized and detail-oriented, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Proficient in relevant software and systems, including ABI and other customs-related tools.
  • Ability to work in a fast-paced environment, with a focus on accuracy, efficiency, and customer satisfaction.
