Job Title: Administrative Assistant and Accounting

Sequoia Connect is seeking a highly organized and detail-oriented Administrative Assistant and Accounting professional to join our team. As a key member of our Management Operations Team, you will play a crucial role in supporting the growth of our company and teams.

Key Responsibilities:
  • Manage customer invoices and credit memos, ensuring timely statements and accurate postings.
  • Record journal entries and maintain customer deposit registers with precision.
  • Build and maintain relationships with clients' finance teams, monitoring accounts and maintaining collection logs.
  • Address customer complaints and make daily collection calls and emails.
  • Work closely with Accounting Managers to ensure accuracy in billing and collections procedures.
  • Prepare and present weekly reporting packages to management on the status of AR.
  • Lead meetings with the Sales Team to verify the status of delinquent accounts and solicit payments on overdue invoices.
  • Inform management of accounts that need to be written off to bad debt and manage incidences of personal and IMSS, payment of payroll.
  • Perform general office work, including copying, faxing, filing, scanning, and handling correspondence.
  • Identify and report any issues with facility, staff, or clients.
  • Manage accounts receivable and accounts payable for multiple entities.
  • Prepare bank reconciliations in support of financial statements.
  • Assist with accounts payable transactions, including expense reimbursement reconciliation and entry, invoice processing, and vendor check runs for multiple entities.
  • Data entry of vendor invoices into accounting software.
  • Perform physical and electronic filing duties according to established procedures.
  • Assist with recording credit card transactions for multiple entities.
  • Support office staff as assigned.
Requirements:
  • Bachelor's degree in Accounting or related field.
  • Minimum of 6 months of experience in related activities.
  • Organized multi-tasker with ability to prioritize and meet deadlines.
  • Excellent interpersonal skills and ability to adjust and interact with all levels of personnel.
  • Demonstrated ability to work independently in a fast-paced environment.
  • Strong sense of responsibility and high personal integrity.
  • Remarkable organizational skills and relentless drive to improve efficiency.
  • Detail-oriented and strong knowledge of Excel, G-Suite suite including Docs, Sheets, and Gmail.
  • Strong organizational clerical, problem-solving, and communication skills.
  • Ability to effectively interface with all department staff.
  • Strong teamwork and ability to welcome differences when working alongside others.
  • Friendly and approachable with strong written and verbal communication skills (English and Spanish).
Availability:
  • Home Office candidates with only one day at the office per week.
  • Willing to have a base salary and bonuses.
Language:
  • Advanced English.
  • Native Spanish.
