Job Description

We are seeking a skilled and experienced Office Efficiency Specialist to join our team at Spin Master Ltd. This role will be responsible for ensuring the efficient and effective operation of our Mexico City office.

About the Role
  • The successful candidate will proactively ensure that all facilities, utilities, and equipment are in good working order.
  • They will work closely with the property manager to resolve any issues related to building maintenance and repairs.
  • This role will also be responsible for managing relationships with third-party vendors and contractors.
Main ResponsibilitiesHealth and Safety
  • The Office Efficiency Specialist will ensure compliance with all required health and safety legislation and legal requirements.
  • They will document and communicate all applicable health and safety policies and procedures.
  • This role will develop and implement an established 5S and safety program consistent with Spin Master values and processes.
  • They will lead the Joint Health Safety Committee and coordinate annual training of earthquake and fire brigades.
Building Maintenance
  • The successful candidate will effectively manage day-to-day communication with the property manager and ensure ongoing follow-up to resolve any property management requirements.
  • They will manage the ongoing relationship with the assigned cleaning contractor.
  • This role will perform daily inspections of the office facilities and monthly inspections of the warehouse to address any issues related to cleaning and maintenance.
Security
  • The Office Efficiency Specialist will ensure that Spin Master Facilities are always secure and safe.
  • They will manage the relationship with third-party security and alarm vendors.
  • This role will manage the programming, inventory, and assignment of security access badges and privileges for all Spin Master employees, temporary employees, and contractors.
  • They will verify that cameras and all other peripheral security devices are operational and in proper working order.
Administration
  • The successful candidate will work closely with finance to procure office supplies and coffee and snack services.
  • They will create purchase requisitions for facilities purchases.
  • This role will support sustainability initiatives and be an active member of the Earth Buddies team.
  • They will regularly update and manage employee headcount, seating charts, and parking charts.
  • The Office Efficiency Specialist will be responsible for in-office event management and showroom logistics.
  • They will act as an on-site resource for the Global IT team.
  • They will receive and secure IT equipment and assets.
Requirements
  • A minimum of [insert salary] per annum, depending on experience.
  • Experience in facilities management or a related field.
  • Intermediate to advanced knowledge of MS Office, coupled with experience of accounting software and other web-based applications.
  • SAP experience is a plus.
  • The ability to lift and move up to 50 pounds occasionally.
