We are a dynamic building maintenance company poised for growth in the government contracting sector. With a proven track record in the commercial market, we seek an experienced Administrative Coordinator to support our entrepreneurial endeavors and drive organizational efficiency.

Key Responsibilities:

  • Collaborate closely with our CEO to streamline administrative tasks and optimize day-to-day operations.
  • Aid in preparing government contracting documents, including RFPs and diverse business certifications, ensuring seamless execution.
  • Implement HubSpot CRM effectively, adhering to established guidelines and maximizing its potential for organizational efficiency.
  • Manage service management software, tailoring settings and automation to meet specific needs.
  • Support in categorizing and managing contacts, resumes, references, and other essential documents.
  • Foster effective communication with potential clients and participate in networking activities.
  • Maintain a positive company reputation by delivering meticulous attention to detail in all tasks.
  • Develop a comprehensive phone system, incorporating extensions and professional greetings.
  • Communicate comfortably with customers, understanding their needs and ensuring satisfaction.
  • Contribute to creating an employee handbook, focusing on PTO and sick leave policies.
  • Compile and organize employee reports.
  • Collaborate with existing virtual assistants to optimize efficiency in routine tasks.

Qualifications:

  • Prior experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Microsoft 365 applications, Word, Excel, Planner, etc.
  • Strong organizational skills, enabling efficient task management and attention to detail.
  • Proficiency in using CRM tools, with experience in HubSpot being advantageous.
  • Familiarity with government bidding processes and diverse business certifications.
  • Excellent written and verbal communication skills.
  • Ability to adapt quickly, especially in government contracting procedures.

Work Schedule and Compensation:

Regular business hours, flexible from 9 AM to 6 PM EST. The estimated salary for this position is $40 per hour, based on industry standards and location factors.
