Payroll Team Lead

The Payroll Team Lead is responsible for coordinating and facilitating daily activities for Payroll and Payroll-related functions. This role ensures efficient and effective interdepartmental and intradepartmental communication to aid in successful dispensing and reporting of all processes.

Key Responsibilities:

  • Drive continued process improvement and project ownership of system enhancements and vendor relationships.
  • Assist team members with questions, concerns, and complaints from employees, external departments, and payroll vendors.
  • Manage LATAM payroll processing, including but not limited to: processing all LATAM payroll or backing up the primary payroll processor. Manage the Payroll Specialist in Brazil, who is responsible for processing the payroll in-house using TOTVS software. Prepare, analyze, and report on all payroll processes. Understand and successfully pull reports from payroll systems as needed to satisfy all payroll objectives and audits.
  • Prepare, communicate, and assist with all payroll journal entries and payroll account reconciliation for month-end to close.
  • Ensure all payroll processes are compliant with any federal, local, and state regulations.
  • Coordinate, assist, and ensure all payroll audits are completed timely, accurately, and all outside vendors have the necessary information for completion of audits.
  • Assist with training of new team members.
  • Maintain and update established departmental policies and procedures.
  • Handle difficult employee payroll issues, working as the liaison between team members, management, and external departments to aid in positive resolutions.
  • Provide general and specific administrative support to the department.
  • Assist with all merger and acquisition-related responsibilities.
  • Report as Payroll Manager proxy when requested.
  • Other duties as assigned.

Requirements:

  • 5-10 years of payroll and general office experience required.
  • Payroll systems acumen required.
  • Knowledge of multi-country pay in LATAM and employment laws.
  • Knowledge of MS Office with intermediate or advanced knowledge of Excel.
  • Ability to multi-task and maintain attention to detail.
  • Advanced English skills.

  • Knowledge of payroll system TOTVS.
  • Advanced Spanish skills.

Education:

  • Associates Degree (A.A.) or equivalent from 2-year college or technical school; or 5 years related experience and/or training, or equivalent combination of education and experience.
