About the Role

We're looking for a highly organized, detail-oriented Project Manager to support a fast-paced, cross-functional team. This role is essential to keeping projects, timelines, and communication running smoothly across creative, marketing, and operational teams.

You'll work closely with internal stakeholders and clients to manage workflows, track deliverables, and provide strong administrative and project management support across multiple accounts.

Key ResponsibilitiesProject Management & Timeline Ownership

  • Build, manage, and advance project timelines in from kickoff through completion
  • Present developed timelines for internal alignment before execution
  • Track action items, milestones, dependencies, and deliverables
  • Proactively flag risks, delays, or missing inputs
  • Track completion of SOW deliverables and support project closeouts

Department Support

  • Prepare agendas and materials for weekly internal and external status meetings
  • Create and distribute meeting recaps and action items
  • Maintain accurate project documentation and asset organization
  • Update and manage client project trackers and shared documents
  • Track and manage client project budgets
  • Attend client calls and capture notes to inform next steps and agendas
  • Act as a point of contact for client communications as needed

Administrative & Operational Support

  • Schedule internal and external meetings across teams and clients
  • Support budget tracking, reconciliations, and light estimating
  • Assist with SOW drafting, updates, and administrative tracking
  • Flag opportunities to internal commercial or sales stakeholders
  • Help traffic work internally and ensure clear handoffs between teams

Communication & Coordination

  • Serve as a central point of coordination between creative, earned, and owned teams
  • Ensure clarity around deliverables, owners, timelines, and expectations
  • Support clear, consistent client communication

Skills & Qualifications

  • Strong project management and organizational skills
  • Ability to manage multiple projects and timelines simultaneously
  • Excellent written communication and documentation skills
  • Experience with project management tools preferred)
  • Familiarity with marketing agency workflows, scopes of work, and deliverables is a plus
  • Calm, proactive, and solution-oriented mindset
  • Professional, client-facing communication style
  • Agency experience preferred
  • Beauty or CPG category experience is a plus
