Role
The Assistant Spa and Wellness Manager support the Director of Spa in overseeing the daily operations of the Spa and Wellness programs. This role encompasses guest relations, team supervision, and administrative responsibilities—including budgeting, payroll, scheduling, training, and inventory management—while fostering a culture of continuous improvement and excellence.

This role ensures that the Spa remains one of the most exceptional in the area by consistently delivering operational excellence, personalized guest service, and strong team leadership.

Responsibilities

  • Assist the Director of Spa in overseeing the daily operations of the Spa and Wellness Center, ensuring seamless and efficient service delivery.
  • Oversee guest scheduling, staff rota management, and the smooth day-to-day execution of all spa services.
  • Monitor the performance of therapists and reception staff, ensuring all team members consistently meet or exceed guest service standards.
  • Coordinate and manage reservations through spa management software (Opera or similar), ensuring accuracy, efficiency, and timely service delivery.
  • Serve as the primary point of contact in the absence of the Spa Manager, ensuring continuity of leadership and service excellence.
  • Respond promptly, professionally, and effectively to all guest inquiries, special requests, and concerns. Actively promote spa treatments, wellness programs, and retail products to enhance the guest journey and support revenue objectives.
  • Conduct and coordinate training programs, including onboarding, service standards, product knowledge, and treatment protocol refreshers.
  • Assist with employee evaluations, performance reviews, and disciplinary processes in accordance with company policies.
  • Assist in the preparation and monitoring of budgets, monthly forecasts, payroll, and daily financial reporting.
  • Oversee inventory control processes, including ordering, receiving, stock rotation, and monthly stock counts.

Requirements

  • College degree or equivalent education in Hospitality Management, Spa Management, Cosmetology, or a related field.
  • Strong knowledge of spa operations, treatments, and wellness modalities.
  • Solid understanding of health, hygiene, and safety standards and protocols.
  • Proficiency in Microsoft Office and spa or resort management systems, such as Opera, Book4Time, Zenoti, or similar platforms.
  • Minimum of 3 to 5 years of experience in a five-star hotel or luxury spa environment. At least 2 years of experience in a supervisory or Assistant Spa Manager role or in a similar leadership position.
