The Import/Export Specialist is responsible for coordinating international and domestic import and export activities, ensuring efficient, compliant, and cost-effective transportation solutions. This role manages the full shipment lifecycle—from documentation and customs clearance to final delivery—while maintaining strong vendor relationships and providing proactive customer communication. The position also contributes to pricing analysis, compliance oversight, and continuous process improvement to optimize operational performance.
Key ResponsibilitiesShipment Coordination & Compliance
Coordinate import/export shipments across multiple modes: air, ocean, ground, and courier.
Ensure proper documentation for import and export activities, including customs entries, brokerage coordination, and compliance with international regulations.
Track and trace shipments from origin to destination, resolving issues to minimize delays or exceptions.
Collaborate with freight forwarders, brokers, and carriers to secure accurate and timely handling of cargo.
Maintain accurate shipment records and ensure data integrity in the Transportation Management System (TMS).
Customer Communication & Service Excellence
Serve as the primary point of contact for clients regarding shipment status, escalations, and service inquiries.
Provide proactive updates and detailed reporting to customers, ensuring expectations are met.
Partner with clients, internal stakeholders, and vendors to resolve complex logistics and compliance challenges.
Pricing, Vendor Management & Analysis
Obtain competitive quotes from carriers, overseas agents, and logistics partners for both import and export movements.
Negotiate rates and service levels with vendors to balance cost efficiency and service quality.
Support pricing analysis and maintain vendor and client rate structures in TMS.
Align with Finance and Operations teams to ensure accuracy in billing and service delivery.
Process Improvement & Cross-Functional Support
Identify and implement initiatives that enhance operational efficiency and compliance.
Assist in onboarding and training new team members on import/export processes, documentation, and systems.
Participate in cross-functional collaboration with departments such as Solutions, Accounts Receivable, and IT to streamline workflows and improve data accuracy.
High school diploma required; Bachelor's degree in logistics, supply chain, or a related field preferred.
2–3 years of experience in import/export operations, freight forwarding, or international logistics.
Strong understanding of customs regulations, brokerage processes, and international trade compliance.
Proficiency with transportation management systems (TMS) and logistics software.
This role does not include direct supervision but may provide guidance or mentoring to other team members.
