The Role
We are seeking a confident, detail-oriented Client Welcome Specialist to be the vital first
touchpoint for new clients immediately after intake is signed. You will create
connections while ensuring comprehensive intake documentation and case viability
assessment. This role is the foundation of client loyalty and case
success—you'll create the first impression that sets the tone for the entire client
experience.
What You Will Do
Take over client communication immediately after intake signing with
professionalism, building genuine conversation.
Listen to clients' experiences, acknowledge their concerns, and ensure they feel
heard and respected throughout the case process.
Reassure clients they made the right choice and are in good hands.
Conduct thorough intake interviews to gather comprehensive case details,
accident information, and all relevant parties/witnesses/insurance details.
Complete detailed intake questionnaires in the case management system with
accuracy and attention to detail.
Ask probing follow-up questions to uncover critical facts and identify important
case details
Verify statute of limitations compliance and assess overall case viability against
firm standards
Request & collect necessary documents (accident reports, insurance information,
photographs, medical records)
Provide personalized follow-up via phone, text, and email to encourage prompt
client cooperation and document collection
Maintain detailed case notes documenting concerns, special circumstances, and
client interactions.

● Ability to type at least 50 WPM
Preferred (Not Necessary):
Experience in roles requiring relationship-building (hospitality, healthcare, social
services)
Background in counseling, coaching, or client success roles
Prior experience in legal intake, medical intake, or insurance claims
