Title: Remote Moving Administrative Assistant

Job Overview:
As a Remote Moving Administrative Assistant, you will support the operational and administrative functions of our moving services company. Your role involves coordinating logistics, handling customer inquiries, processing paperwork, and ensuring smooth communication between clients and the moving team. This position requires strong organizational skills, attention to detail, and the ability to work independently in a remote environment.

Key Responsibilities:
1. Manage and coordinate the scheduling of moving services, ensuring timely and efficient operations.

3. Process and maintain accurate records of client information, moving requests, contracts, and other documentation using company databases and software.

4. Assist in preparing and sending out quotes, invoices, and follow-up communications to clients.

5. Coordinate with moving crews, drivers, and other team members to ensure all logístical details are communicated and executed smoothly.

6. Monitor the progress of moves, addressing any issues or changes in plans, and keeping clients informed throughout the process.

7. Manage inventory of moving supplies and equipment, ensuring availability and proper allocation.

8. Maintain and update the company's CRM system, ensuring all client interactions and transactions are logged and up-to-date.

9. Assist with the preparation of reports, summaries, and analysis of moving operations and customer feedback.

10. Support the sales team by providing administrative assistance, including data entry, appointment scheduling, and follow-up communications.

11. Handle billing and payment processing, ensuring accuracy and timely collection.

12. Assist with the development and implementation of administrative policies and procedures to improve efficiency and service quality.

13. Participate in virtual team meetings, training sessions, and professional development opportunities to stay current with industry practices and company standards.

Qualifications:

- Proven experience in an administrative role, preferably in the moving, logistics, or related industry.
- Strong organizational and multitasking skills, with the ability to manage and prioritize multiple tasks and deadlines.
- Excellent communication skills, both written and verbal, with a customer-focused approach.
- Proficiency in using office software, including Microsoft Office Suite, CRM systems, and other relevant tools.
- High level of accuracy and attention to detail in handling paperwork and data entry.
- Ability to work independently and efficiently in a remote work environment.
- Strong problem-solving skills and the ability to handle unexpected changes or challenges.
- High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Reliable internet connection and a suitable home office setup for remote work.
- Pay is $6.25 per hour. 40 hours per week. You may not run another remote job concurrently.
