**Document Collector (Compliance)**
**Overview**:
We are looking for a **Document Compliance Specialist** to join our compliance and finance operations team. This role supports a U.S.based staffing company by ensuring that all contractor and employee documentation is accurate, complete, and compliant with state and federal requirements.
You will work closely with recruiters, onboarding teams, and finance to collect, verify, and maintain all required records — including employment eligibility, contracts, and timesheets — to ensure smooth payroll and invoicing processes.
**Key Responsibilities**:
- Collect and review onboarding documents from contractors and new hires (IDs, I-9 forms, work permits, W-9s, insurance certificates, contracts, etc.).
- Validate employment authorization and identity information using government verification tools (e.g., E-Verify, USCIS portals).
- Maintain accurate and up-to-date records in CRM or compliance systems (e.g., **Bullhorn**, **ADP**, or similar).
- Support the payroll and finance teams by confirming that all timesheets, commissions, and bonuses are approved and properly documented before processing.
- Conduct internal audits to verify that all personnel files meet compliance and legal standards.
- Communicate with contractors and clients professionally to resolve missing or incorrect documentation.
- Prepare and update compliance reports for management and assist with month-end reconciliations.
- Ensure data confidentiality and adherence to company and client compliance policies.
**Requirements**:
- **2+ years** of experience in document control, compliance, payroll support, or administrative roles (preferably in staffing, HR, or financial services).
- Familiarity with **U.S. employment documentation** (I-9, W-9, work permits, background checks).
- Strong organizational skills with attention to detail and accuracy.
- Proficiency with **Excel** and experience using **CRM** or HR systems.
- Excellent written and verbal communication skills in English.
- Ability to handle confidential data responsibly.
- Customer service-oriented and proactive in following up on pending information.
**Nice-to-Have**:
- Experience working with U.S.based clients or in a staffing company environment.
- Understanding of compliance audits and documentation workflows.
