Job Description:
JOB RESPONSIBILITIES
End User Support & Training
- Manages incoming Help Desk tickets from end users, identifying and assessing end user needs to ensure satisfaction.
Executes TIMS end user access requests (i.e., new access, termination of access, changes to access).
- Notifies end users and other key stakeholders of jobs delays, jobs processing longer than usual, and/or job error out.
- Builds sustainable relationships and trust with end users through interactive communication.
- Maintains and updates support documents and training materials for internal customers.
- Provides training to end users to ensure TIMS is accurately maintained, and that rules and roles for data entry and ownership are clearly defined, ensuring training sessions follow company policies, procedures, and standard workflows.
Database Administration
- Monitors database utilization (i.e., disk utilization, print queues, and record locks).
- Resolves and clears any database locks/hanging sessions.
- Performs TIMS database version upgrades/hotfixes.
- Implements and monitors nightly batching to ensure timely transaction posting.
Data Quality & Accuracy
- Develops and implements information analysis tools and business processes that allow for the review and correction of data of TIMS.
- Integrates and transforms data from multiple sources to create targeted databases (e.g., TIMS, SalesForce, etc.) for all aspects of company sales and operations (e.g., part numbers, clinics, payors, payor rules, HCPCs, fee schedules, automated payor selection mapping, etc.).
- Assists with accurately mapping payors from MotionMD clinics to TIMS payors in Salesforce.
- Documents the necessary business processes and technical requirements.
- Develops, implements, and monitors SOPs for information’s quality, retention, and reuse.
- Resolves information quality problems by determining the cause of the problem, selecting, and explaining the best solution to solve the problem, expediting correction or adjustment, and following up to ensure resolution.
Reporting
- Develops, publishes, and distributes accurate reports and tools to all Sales and Operations staff.
- Responds to requests to change and create new dashboards and reports.
- Assists staff in understanding the calculations behind the report analytics.
- Advises management on report alternatives, when applicable.
- Ensures the accuracy of reports and timeliness of the data by maintaining and monitoring the integration and transformation processes daily.
Process Improvement
Improves efficiency of department processes and software through understanding of existing processes or business requirements, collecting and analyzing data, and recommending alternative solutions.
- Collaborates with external vendors regarding functionality needs.
Participates in the planning, testing, and implementation of TIMS software upgrades.
- Researches potential impact of implementations/upgrades and works to minimize system interruptions to the business during normal business hours.
- Collaborates with IT to update processes and communicate changes to internal customers and other key stakeholders as it relates to implementation of new software and software upgrades.
- Initiates and engages with various resources to support continuous improvement opportunities for future state savings.
Compliance
- Maintains knowledge of third-party payor regulations including Medicare, Medicare Advantage, Medicaid, Workers Compensation, and non-governmental payers to ensure DJO conducts its Revenue Cycle Management activities in compliance with applicable rules, policies and guidance.
- Demonstrates commitment to the DJO Compliance & Ethics Program, the DJO Code of Conduct, the DJO Sales and Marketing Code of Conduct, the AdvaMed Code of Ethics, and all supporting and applicable regulations, policies, and procedures.
- Adheres to all internal Corporate Compliance guidelines, OIG, government healthcare regulations, regulatory policies and procedures, and privacy and security standards in accordance with government agencies, including HIPAA requirements.
- Treats Protected Health Information (PHI) with the strictest confidentiality in accordance with HIPAA standards.
- Acquires a basic understanding of the field to include regulatory compliance issues and adheres to these guidelines.
- Other duties as assigned.
QUALIFICATIONS
- Associate’s Degree in Healthcare Administration, a technical field (IT/IS), or related field equivalent, required. Experience may be considered in lieu of education.
- Minimum of 1 year of experience maintaining master data in an EMR or EPR system required.
- Prior experience with TIMS platform strongly preferred.
- Experience with SalesForce is a plus.
- Understanding of Healthcare Common Procedure Coding System (HCPC) codes.
- Understanding of Durable Medical Equipment (DME) billing practices strongly preferred.
