NWPCA supports manufacturers, repairers, and distributors of wooden pallets and packaging solutions, as well as product and service providers to the industry. Established in March 2022, the Mexico & Latin America Chapter continues this legacy, ensuring that the region's wood pallet industry remains globally competitive.NWPCA seeks a highly organized and proactive, remote-based Program Coordinator to support its operations in Mexico and Latin America. This role involves administrative management, billing, database maintenance, member support, meeting and event coordination, and effective communication. The position requires domestic travel and may include occasional international travel. Advanced English and Spanish proficiency are essential due to frequent coordination with U.S. headquarters, international members, and global events.Membership Billing & AdministrationUpdate invoices in Adobe with members' tax information (RFC).Track payments and renewals for memberships and Pallet Design System (PDS) licenses.Send renewal reminders and monitor retention rates.Generate monthly reports on new users and membership updates.2. Database ManagementMaintain an updated membership and PDS licensing database.Register new members and update existing records.Analyze and report key metrics, including retention rates and membership growth.Work with CRM-style systems and ensure clean, accurate data for reporting and event planning.3. Member Communication & SupportRespond to inquiries regarding memberships and software (pricing, benefits, requirements, etc.).Manage the Chapter's WhatsApp group, including onboarding new members and sharing relevant updates.Review and update the association's calendar in Spanish.Use English-language resources to draft communications on key NWPCA events (e.g., Annual Leadership Conference, Fall Plant Tour, PDS courses).Distribute monthly newsletters and important communications to members.Review the Spanish-language website, ensuring timely updates and regional relevanceCreate or translate marketing materials in Canva and draft LinkedIn posts is a plus.Prepare bilingual announcements, scripts, and event summaries.4. Meeting CoordinationAttend virtual and in-person meetings, as well as provide organizational and logistical support to arrange meetings.Record meeting minutes, track attendance, and confirm participant numbers.Update PowerPoint presentations.Prepare nameplates and send email reminders.5. Event & Travel CoordinationAssist with logistics for the Annual Conference & Expo LATAM (September), including agenda, attendee inquiries and registration, and working with an event coordinator.Manage the administrative calendar, including educational events, and regional meetings.Help oversee event budgets and payment schedules.Accompany NWPCA staff on site visits and attend industry events (in-person and virtual).Qualifications & RequirementsPrevious experience in administration or administrative support.Strong database management and reporting skills.Excellent organizational and communication abilities.Proactive, detail-oriented, and able to work independently in a fast-paced environment.Proficiency in Google Workspace, Microsoft Office, Adobe, and Canva.Ability to manage multiple tasks and work autonomously.Advanced English and Spanish proficiency required (written and spoken).Bachelor's degree is preferred, or at least five years of professional experience.Experience supporting senior leadership or working in an international/cross-cultural environment preferred.Professional ValuesPositive, collaborative, and service-oriented mindset.Comfortable interacting with industry leaders, executives, and government officials.Enjoys building relationships and contributing to a growing chapter and global mission.Thrives in environments with evolving priorities and international coordination.Apply today and help us keep the world moving—one pallet at a time
