Job Description We are seeking a detail-oriented
Document Controller
to support
hospitality (hotel) development projects , with a strong focus on
project closeout and compliance documentation . This is an
on-site role , requiring consistent presence at the project location to coordinate documentation directly with construction, facilities management (FM), and asset management teams. The Document Controller will play a key role in ensuring all project documentation meets
hotel brand standards, regulatory requirements, and operational readiness criteria
prior to handover.
Key Responsibilities Support the
FM and Asset Management teams
in the
closeout of hospitality projects , ensuring all required documentation is complete, accurate, and compliant with brand and operational standards. Maintain a
strong on-site presence , working closely with contractors, consultants, and project stakeholders to collect, verify, and organize documentation in real time. Establish and manage a
document control system , ensuring effective tracking of documents, approvals, revisions, and compliance requirements. Coordinate communication between
construction, FM, asset management, and hotel operations teams
to ensure smooth document handover aligned with operational needs. Ensure familiarity with
all phases of hospitality development projects , including design, construction, commissioning, and handover. Support and manage the
full project closeout process , including O&M manuals, as-built drawings, warranties, certifications, and regulatory documentation. Create and maintain
structured document control folders and systems
for each project, ensuring easy access and audit readiness. Develop and enforce
document control procedures and guidelines
in line with company standards and hospitality industry requirements. Prepare, operate, and continuously improve

aligned with the company's Document Management System. Track and report document status, providing
daily, weekly, and monthly updates
on progress and compliance. Ensure documentation aligns with
hotel brand standards, operator requirements, and asset management expectations . Support audits and inspections by ensuring
complete and accurate documentation availability on-site .
Qualifications
Minimum
5+ years of experience
as a Document Controller in the
construction industry , preferably with
hospitality or hotel development projects . Proven experience supporting
project closeout in complex or multi-disciplinary projects , with strong on-site coordination. Bachelor's degree in a relevant field (e.g.,
Engineering, Architecture, or Construction Management ). Familiarity with
hospitality brand standards and handover requirements
is highly preferred. Experience in
data management, document mapping, and reporting processes . Proficiency in
Microsoft Office Suite
and document management systems. Experience preparing
daily, weekly, and monthly reports . Fluent in English and Spanish
(written and verbal), able to coordinate with international stakeholders. PMI or other
Project Management certification is a plus . Preferred Competencies Self-driven, proactive, and highly organized with strong attention to detail. Excellent communication and coordination skills, particularly in
on-site environments . Ability to manage multiple stakeholders in
fast-paced hospitality project settings . Strong understanding of
compliance, audit readiness, and operational handover requirements .
