In This Role, Your Responsibilities Will Be:Organize the agenda of activities of the operations management and those related to the team activities of their managers in charge.Planning and coordination of the agendas of local and international visitors.Provide services to visitors of the department such as as workspace during the stay, access to the plant's WIFi network, personal protective equipment, coordination of safe and efficient transportation logistics, general assistance on travel topics, translation, catering, etc.Coordination of trips for employees considering number of layovers, connection times between flights, fares, transfer times and location in all travel itineraries, always adhering to the expense policies.Ensure that all employees have the necessary requirements and resources to make a business trip.Collaborate in the planning, coordination and execution of events related to operations management and/or management team.Provide documents for immigration access purposes for foreign visitors and give guidance during their visit.Collaborate in creating and/or updating policies, forms, documents and reports for departments involved with the position.Write and send emails or letters on behalf of the director of operationsCoordinate and organize conferences or meetingsOrganize and save documents both physically and digitally to maintain an efficient system according to the retention policyPrepare reports, presentations and documents for Director of Operations meetings.Ensure confidentiality and proper handling of sensitive information.Control and manage travel expenses, purchases related to management including the preparation of expense reports according to the procedures described in the policies and organization of invoices or expense vouchersAssist in the processing of payments, reimbursements and follow-up of accounts of credit cards, department purchases or plant managementReceive and respond to inquiries from employees or visitors, directing them to the appropriate person or providing the required information.Ensure the correct use of the resources and benefits provided by the company.Scheduling meetings, such as weekly meetings, period reviews and Board Meetings among other.Planning and coordinating agenda, for the department.Departmental meetings minutes preparation and follow up to pending tasks of its members and reports preparation.Local and foreign teleconferences and videoconferences coordination and schedule.Assistance in editing business correspondence in English and SpanishCoordinate logistics and presentations for the Board Meeting or visitsElaboration of expense reports, travel expenses and reimbursements to managersProvide administrative support to other areas when requiredProjects Management Assistance within Departments.For This Role, You Will Need:Fully bilingual Administration Bachelor Degree Preferred Qualifications That Set You Apart:3 years experience in a similar positionOur Culture & Commitment to You:At Emerson, we prioritize a workplace where every employee is valued, respected, and empowered to grow.
