Role Purpose  

Geographically distributed Grant Associates, aligned to Opportunity portfolios, will be tasked with providing administrative support to Opportunity Teams on grant management activity. 

Grant associated is expected to be an expert user of the grant management system and will be responsible for system updates, reviewing reports and data, supporting delivery of training and upskilling, working with opportunity offers to operationalize the grant, and ensuring compliance with global policy and procedure. The incumbent will be supporting program teams, grantees, and legal to help accelerate grant from ‘idea to out the door’ to maximise the impact for the duration of the Opportunity.

Key Responsibilities  

With a dual reporting to global central grants management (solid line) and Director of Programs (dotted line), the key responsibilities for the Grants Associate will be as follows: 

Responsible for providing advanced & complex administrative support for grant making activities and/or other opportunities by performing operational work that helps achieve the program’s goals and plans 

Accountable for updating the system with relevant grants / grantee information 

Responsible for reviewing reports and documents for compliance, accuracy, and readability 

Review data to assure that it is accurate and complete in accordance with appropriate protocols. 

Responsible for supporting delivery of knowledge building and training across the opportunity portfolios 

Accountable (with Central Grant Management) for enforcing global GM policy, procedure, and compliance 

Support portfolio analytics with data provision and entry

Build and maintain training material for the grant management system based on updates and changes that get implemented 

Manage relationship with grantees and others in the field 

Collaborate in the construction, maintenance, assessment of grant making portfolio(s), and for portfolio strategy design. 

Provide support in obtaining and recording Equivalency Determinations. 

Monitor grant payment schedules and budget vs actual grant spend out.

Qualifications  

  Essential :
 

University degree – BA or BSc 

Experience   

Essential

Prior career experience of working within grants management administration, processes and systems – either from within Grants Management or from Programmatic teams (with the required functional competencies set out in the below section) 

Proven experience in collaborating with multi-country stakeholders within a multinational organisation, and/or organisation with significant complexity

Have extensive knowledge and experience of working with grant management processes and systems 

Ability to facilitate and provide training to others on systems. 

Experience in working with grantees and nurturing those relationships. 

Knowledgeable of the field and partnerships, and in developing and designing the grant selection processes

Ability to generate, capture and organize information and knowledge to deliver prescribed outcomes for area of responsibility
