Responsibilities

The Opportunity

The HAM Financial Management Team is designed to efficiently handle all responsibilities, including contract management, procurement, vendor management, financial management, and coordination with various internal teams. This team manages a budget of $62,017,817.03 USD and oversees 290 contracts, covering leases, hardware maintenance, software maintenance, and services. This comprehensive approach ensures effective management of IT infrastructure and operations, supporting the organization's goals and maintaining high standards of service and performance.

Your Impact

As Hardware Asset Management Financial Senior Analyst, your responsibilities would consist of:

  • Contract Management:
    • Oversee the execution and management of 290 contracts, ensuring all parties meet their obligations.
    • Manage lease agreements for mainframe, storage, backup, servers, network equipment, desktops, laptops, and printers in the United States and Canada.
    • Ensure global hardware and software maintenance contracts are current and services are delivered as agreed.
    • Oversee service contracts, ensuring vendors meet their obligations and service levels, and manage any disputes or performance issues.
    • Ensure all contracts comply with legal regulations and company policies, identify and mitigate potential risks, and address any contract-related issues or disputes.
    • Lead contract renewals, working closely with finance, global procurement, and stakeholders to gather necessary information for renewals, terminations, and approvals.
    • Maintain comprehensive records of all contracts, amendments, and related correspondence.
    • Regularly review vendor performance against contract terms, addressing any issues and ensuring continuous improvement in service delivery.
    • Provide training and support to internal teams on contract management best practices.
  • Financial Management:
    • Oversee a budget of $62,017,817.03, ensuring efficient allocation of resources and cost optimization.
    • Develop and manage financial forecasts to predict future financial performance.
    • Manage the financial period close process, including monthly, quarterly, and annual closes.
    • Collaborate with the finance team to ensure timely and accurate invoice payments.
    • Track lease agreements and ensure compliance with accounting standards.
    • Monitor and track productivity metrics and costs associated with IT infrastructure and operations.
    • Manage the depreciation payment for IT assets, ensuring accurate accounting, reporting, forecasting, and impacts on a periodic basis.
    • Ensure accurate and timely recording of accruals for expenses incurred but not yet paid.
    • Support cost transparency efforts in partnership with Technology Business Management (TBM).
    • Ensure timely updates in enterprise resource planning systems (SAP, S4Hana, My Buy, CoStar, ServiceNow, Flexera, etc.).
    • Ensure compliance with financial regulations and internal policies.
  • Global Network Purchase Process:
    • Manage the purchase of network hardware devices for the United States and Canada.
    • Ensure requests comply with PepsiCo standards and maintain effective communication with stakeholders.
    • Maintain strong relationships with vendors to ensure quality service and support for quotations, invoicing, and hardware delivery.
    • Partner with the global procurement team to ensure compliance with PepsiCo policies.
    • Ensure onboarding for new assets in PepsiCo tools in collaboration with the asset management data team.
    • Partner with the NASS team to create purchase orders and ensure timely invoice payments.
    • Partner with the warehouse team to track hardware reception.
    • Partner with Global Hardware Lifecycle Management, local procurement, and sector teams to implement the network purchase process and metrics.

Qualifications

  • Education: Bachelor's degree in Business, Economics, Finance, or a related field.
  • Experience: Minimum of 5 years of experience in data analysis, business analysis, or a related field.
  • Skills:
    • Strong analytical and problem-solving skills.
    • Proficiency in data analysis tools and software (e.g., Excel, SQL, Tableau).
    • Excellent communication and presentation skills.
    • Ability to manage multiple projects and meet deadlines.
    • Leadership and team management skills.
    • Advanced understanding of financial principles and accounting practices.
    • Experience with financial reporting, budgeting, and forecasting.
    • Familiarity with ERP systems and financial compliance requirements.
    • Excellent verbal and written communication skills in English.
