Job Title: Remote Project Billing Coordinator (100% Work From Home) Location: Remote from Latin America Position Type: Full-time Salary: $1,500 - 2,000 USD/month paid via bank transfer or Thera Schedule: Monday - Friday, 8:00 a.m to 5:00 p.m Eastern Time Job Overview Our client is a leading civil engineering and construction management firm based in Northern Virginia, serving both public and private sector clients throughout the Mid-Atlantic region. The company specializes in site development, utilities, roadway construction, and infrastructure improvements, providing high-quality, cost-effective solutions from design through project completion. Their team is dedicated to technical excellence, client satisfaction, and delivering projects safely, efficiently, and on schedule. The Project & Billing Coordinator supports daily operations for JetVac, Hydro Excavation, and CCTV projects by setting up new jobs, processing documentation, preparing billing materials, and ensuring accurate data flow between the field, office, and client systems. This role requires hands‑on experience with utility service project documentation, T&M billing packets, job setup workflows, and task-specific software such as InEight, Bluebeam, and CCTV/JetVac reporting platforms. Responsibilities Set up new projects in InEight, including client information, budgets, crew assignments, and job folder creation. Extract Daily Job Tickets (DJTs) from InEight, rename files according to company standards, and store them in the correct project folders. Review and mark up Time & Material (T&M) DJTs to confirm accuracy of hours, equipment, materials, disposal tickets, and footage. Send T&M DJTs to customers by 10:00 AM the following business day. Submit New Job Number (J#) requests, ensuring all required documentation is included. Prepare Billing Cover Sheets and complete invoice support packets using DJTs, change orders, and production logs. Request Miss Utility tickets, track ticket status, and maintain documentation for each job. Complete job‑specific submittal packages, including safety documentation, SDS sheets, equipment specs, CCTV system details, and other required materials. Process and upload daily PO requests, verify accuracy, and match POs to job‑specific DJTs. Support JetVac, Hydro, and CCTV projects by confirming required documentation, utility locates, footage logs, and disposal paperwork. Maintain organized digital project folders with DJTs, POs, submittals, change orders, and billing documents. Qualifications, Skills, and Key Competencies Industry & Field Operations Experience 2+ years of experience supporting projects in JetVac, Hydro Excavation, CCTV pipeline inspection, or similar utility/municipal field services. Demonstrated experience processing and reviewing T&M DJTs, including confirming crew hours, equipment usage, footage measurements, materials, disposal, or dump tickets. Experience creating and organizing job sheets, daily job packets, or similar field documentation. Experience supporting or assembling change orders, including quantity adjustments and updated scopes. Familiarity with Miss Utility (811) ticket requests: submitting, verifying, and tracking ticket numbers. Experience preparing billing support documentation, including invoice packets and billing cover sheets. Software & Technical Tools Proficiency in InEight – job setup, DJT extraction, project entry, and document management. Proficiency in Bluebeam – marking up DJTs, reviewing field documentation, and creating measurements and notes. Microsoft Excel – daily job dump review, PO logs, billing sheets, and production tracking (formulas, filters, tables). CCTV reporting tools such as Flexidata, WinCan, POSM, or GraniteNet. Cloud-based document systems such as SharePoint or OneDrive. Documentation & Accuracy Ability to verify DJT accuracy, confirm quantities, and identify missing elements. Experience organizing technical submittal packages. Strong accuracy in tracking POs, matching documents, and maintaining precise records. Hardware Requirements PC computer and 2 monitors.
