Looking for executive assistant to be a supportive force who empowers customer senior leadership (VP). The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high‑level systems and operations. Executive Assistant’s responsibilities will also include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well‑organized, have great time management skills and be able to act without guidance. Skills & Qualifications Excellent written and verbal communication skills Ability to pay attention to detail Ability to multitask Basic understanding of frequently used computer software and programs, such as Microsoft Office Strong time‑management skills and an ability to organize and coordinate multiple concurrent projects Proficiency with office productivity tools and an aptitude for learning new software and systems Flexible team player, willing to adapt to changes and unafraid of challenges Ability to maintain confidentiality of information related to the company and its employees Primary Job Duties and Responsibilities Work directly with the VP to support all aspects of his/her daily work routine. >Maintain the VP’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs. Serve as a liaison between the VP and other business stakeholders (internal & external). Coordinate work with other SAP & Vendor staff as needed; including helping to coordinate the work of the different groups and providing administrative support for governance meetings. Provide coordination, monitoring, and communication of projects and programs managed by the SAP PC3 business to VP with status reporting. Assist in PMO activities and processes including project planning, intake, prioritization, initiation, execution, and training; as well as in fostering collaboration of end‑users and key stakeholders. Assist the VP in the development of presentations and white papers for internal and external audiences. Determine priority of matters of attention for the VP; redirect matters to staff to handle, or handle matters personally, as appropriate. Keep the VP advised of time‑sensitive and priority issues, ensuring appropriate follow‑up. Routinely perform a wide variety of support duties. Sort and triage mail; maintain e‑mail and other address directories. Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials. Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate. Maintain confidential and sensitive information. Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material. Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
