Immersed in a creative environment you will be able to explore and gain experience in a variety of administrative areas such as Executive Assistant, Administration Processes, Finance, HR and IT tasks. Your work ethic, combined with your commitment to collaboration and mentoring, makes Gensler the perfect place to nurture your career.What You Will Do- Receptionist_- Responsible for answering main office line and redirect the calls as required- Receive guests at reception and greet clients as appropriate- Receive and distribute mail and deliveries- Assist with outside deliveries & pick-up as needed- Office Services_- Maintain the aesthetic appearance and cleanliness of the pantry, conference rooms, teaming areas and common areas at all times (client ready)- Coordinate all supply ordering (monitor and maintain office and kitchen supplies)- Coordinate client lunches and other on-site meetings (lunch & learns)- Prepare, order food and set up for meetings: food/beverage setup, pin-up boards/posters, breakdown/cleanup after meetings, clean all conference room table and chairs at end of all meetings when needed- Coordinate meeting room reservations to avoid overbookings and/or overlapping meetings- Work with the Studio Coordinator on office projects- Coordinate errands as needed for the office- Other duties and responsibilities as needed- Other Administrative Responsibilities_- Assist Office Director (meetings, agendas, travels, among others)- Work closely with Marketing, Accounting, Office Services and HR in support of studio administration and report requests- Provide administrative support on special projects as needed- Support day-to-day office operations including calendar maintenance, meeting/event coordination, travel arrangements, filing, time sheets, expense reports, and credentialingYour Qualifications- Bachelor's degree or equivalent work experience required- Bilingual - English & Spanish- Proficiency in Microsoft Office Suite - Word, Excel, PowerPoint- Excellent communication skills, both verbal and written- Ability to handle multiple competing priorities, excellent organization skills, attention to detail and flexibility- Schedule flexibility, dynamic, proactive, persistent, responsible and punctual person.- Efficient team player having a practical and respectful work behavior- Able to work under press, skilled at solving complicated situation and achieving goalsLife at GenslerAt Gensler, we are as committed to enjoying life as we are to delivering best-in-class design.
