Our client is a fast-growing firm in the real estate investment sector. They connect accredited investors with a network of highly vetted real estate operators, enabling them to deploy capital alongside other investors. They focus on maintaining an Investors First approach, offering capital-raising and marketing support to sponsors who align with their core values. Their goal is to streamline processes so that sponsors can focus on managing and developing real estate projects.

Position Overview

We are seeking a dynamic Chief Operating Officer (COO) / Integrator for our client's growing team. This is a leadership role that will be critical in organizing and streamlining daily operations, ensuring smooth collaboration across teams, and driving strategic initiatives. The ideal candidate will be a highly skilled, well-rounded professional who combines high emotional intelligence (EQ) with strong organizational and operational expertise.

This role is not focused on development or technical skills but rather on managing chaos, building processes, and connecting multiple stakeholders across different teams. You will be responsible for implementing systems and processes that allow the organization to scale efficiently while maintaining a high level of coordination and communication.

Key Responsibilities:

  • Develop and implement operational strategies to streamline workflows and increase productivity across the organization.
  • Oversee daily operations and ensure all systems run efficiently and effectively.
  • Identify opportunities for process improvements and automation to reduce costs and enhance operational performance.

Project Management & Execution

  • Lead critical projects and initiatives, ensuring they are completed on time, and meet the organization's goals.
  • Coordinate with high level leadership to ensure resources are appropriately allocated and goals are clear.
  • Make quick decisions to course-correct when needed to keep the organization on track.
  • Manage complex projects and ensure effective cross-team collaboration, keeping stakeholders aligned.
  • Act as a central point of communication across teams to ensure timely and smooth project execution, even when dealing with competing priorities.
  • Gather information from meetings, emails, Slack, and other channels, and intuitively organize that information to move projects forward.
  • Ensure all team members and stakeholders are aligned on objectives and key results.

Process Optimization & SOP Development

  • Develop and maintain Standard Operating Procedures (SOPs) for critical operational processes.
  • Continuously assess workflows and implement automation tools to improve operational efficiency.
  • Ensure quality control measures are maintained at all levels of the business.
  • Identify bottlenecks in operational workflows and implement solutions to streamline processes.

Operational Systems Management & Technology

  • Manage operational tools like Notion and other platforms to ensure smooth task tracking and project management.
  • Leverage AI tools and other automation systems to improve efficiency, reduce manual effort, and speed up workflows.

Stakeholder Communication & Onboarding

  • Ensure effective communication with both internal and external stakeholders, providing timely updates on progress and developments.
  • Coordinate onboarding processes to ensure smooth transitions for new employees or contractors, ensuring they're fully integrated into the organization's processes.

Qualifications:

  • Fluent in English, both spoken and written (C1/C2 Level).
  • Minimum 4+ years of experience in an operations leadership role (COO, Integrator, or similar).
  • Proven ability to manage complex projects and processes across multiple teams and stakeholders.
  • Expertise in developing and maintaining Standard Operating Procedures (SOPs) and optimizing workflows.
  • Must have experience in Notion.
  • Strong project management skills, capable of streamlining workflows and automating tasks.
  • Competence with AI tools, leveraging them in day-to-day work.
  • Ability to work autonomously, prioritize tasks, and meet deadlines.
  • Competence is more important than experience or education.
