The Digital Marketing Project Manager is responsible for overseeing the operational engine of the Paid Media department. This role ensures all paid media projects are executed on time, strategists are fully supported with organized assets and information, client communication is timely and professional, and performance data remains accurate and consistently updated. As the Project Manager, you manage project workflows, guide other project managers, uphold standards, and act as the communication hub between Paid Media and surrounding departments. You maintain high-level visibility across all accounts, eliminate bottlenecks, drive operational excellence, and ensure that every project is delivered with precision and consistency. Working Hours: 8:30 am - 5:00 pm ET (M-F) Duties/Responsibilities: Project Management & Workflow Leadership Oversee the end-to-end lifecycle for all paid media projects, from onboarding and setup to launch and ongoing optimization cycles. Develop and maintain advanced project plans, department-wide trackers, and campaign timelines. Assign tasks, manage workloads, and support junior project managers in prioritizing deliverables. Ensure deadlines are consistently met and internal SLAs are followed across the paid media team. Identify risks early and implement solutions before they impact performance or timelines. Strategist Enablement & Operational Preparedness Organize, audit, and prepare all required assets for strategists to execute and optimize campaigns. Maintain clean documentation across onboarding forms, creative assets, tracking sheets, and reporting dashboards. Perform pre-launch QA to verify all tracking, access, CRM triggers, and campaign requirements are complete before handoff. Build systems and standards that increase strategist efficiency and reduce repetitive tasks. Cross-Department Communication As the Project Manager, you oversee and direct all cross-department communication for paid media operations. You ensure information flows accurately and consistently between internal teams throughout the client journey. This includes proactively aligning teams on priorities, clarifying expectations, resolving communication gaps, and ensuring each department has the context and resources needed to execute their work effectively. You set the communication standard for the project management team, maintain operational cohesion across the organization, and guide project managers in best practices for internal coordination. Client Communication & Email Oversight Ensure all client emails are responded to quickly, accurately, and professionally. Route communication to the correct strategist or operational owner and maintain communication logs. Draft organized updates, onboarding instructions, and next-step summaries on behalf of the Paid Media department. Support CX alignment by ensuring clients receive consistent messaging across all stages. Data Management & Reporting Integrity Maintain accurate and up-to-date reporting sheets for budgets, ad spend pacing, campaign performance, and lead flow. Audit data regularly and correct errors, inconsistencies, or broken formulas. Uphold naming conventions, tracking standards, and internal documentation protocols. Guide PMs in maintaining high-level data hygiene and enforcing reporting discipline. Operational Quality Control Validate every aspect of the campaign setup before launch: tracking, pixels, events, UTMs, domains, access levels, CRM triggers, and creative quality. Develop QA checklists, review processes, and spot-check systems to ensure launch accuracy. Escalate technical or operational issues to appropriate departments quickly and clearly. Process Optimization & SOP Development Build and refine SOPs, workflows, checklists, and training documents for the project management team. Identify operational bottlenecks and implement improvements to increase efficiency and reduce errors. Champion best practices across Paid Media and enforce process consistency across all PMs. Lead internal process reviews and support cross-functional operational improvements. Record all Updates on Zoho/ Hubspot for cross-department communication Required Skills & Competencies: Technical Expertise Advanced Google Sheets: QUERY, ARRAYFORMULA, REGEXEXTRACT, XLOOKUP, INDEX-MATCH, IMPORTRANGE, Pivot Tables. Strong understanding of paid media ecosystems (Google Ads, Meta Ads, TikTok Ads, YouTube). CRM systems (Go High Level, HubSpot, Zoho). Basic Intermediate analytics experience for QA: GA4, Tag Manager, event tracking, UTM structures, pixel QA. Familiarity with funnel strategy, automation logic, and performance metrics. Leadership & Project Management Experience managing both projects and people within a digital marketing or agency environment. Strong capacity planning, team delegation, and workflow optimization skills. Ability to run production meetings, roadmap planning sessions, and internal alignment calls. High-level organizational skills with impeccable attention to detail. Communication & Collaboration Clear, concise communicator who excels at managing expectations across departments. Strong documentation habits and ability to teach best practices to junior PMs. Skilled at translating strategy into operational steps and resolving communication breakdowns. High emotional intelligence, professionalism, and situational awareness. Analytical & Operational Strengths Ability to analyze campaign data and identify gaps, risks, or opportunities. Strong systems thinking: understanding how each part of the workflow impacts overall campaign performance. Methodical, proactive problem solver who thrives in structured processes and process creation. Education & Experience Bachelor’s degree in Marketing, Business, Communications, or related field preferred. 2-5 years of project management or operations experience in a digital marketing or agency setting. Relevant project management, digital marketing, or analytics certifications are a plus. Success Metrics On-time delivery rate across all paid media projects.
