Sproule is seeking an energetic, self-motivated Office Services Administrator to join our team. The administrator will be part of the Corporate Services team and will be focused on providing administrative support to our various business units and departments as well as managing the office.

Responsibilities

The Office Services Administrator position at Sproule will:

  • Procure office supplies and manage local vendors. Handle incoming and outgoing mail and couriers.
  • Assist with office-building administration tasks such as managing access cards, parking, coordinating with providers, and disseminating relevant information to the team.
  • Manage cleaning services, including liaising with the cleaning supplier, requesting supplies, managing replacements, and ensuring invoice reconciliation.
  • Handle internet service management, including retrieving monthly invoices and forwarding them to the relevant department.
  • Process local invoices and forward to Corporate Finance.
  • Manage visitor and provider access by approving entries via email.
  • Other office coordination tasks as they arise.
  • Support the administrative team with document preparation.

Required Qualifications & Experience

  • High school diploma or equivalent, college diploma is an asset.
  • 1+ years of experience in office management or administrative assistant role.
  • Proficient in Microsoft Office suite (PowerPoint, word, excel) and Adobe.
  • Fluent in Spanish and English.
  • Excellent written and oral communication skills including good knowledge of English grammar.
  • Excellent organizational and time management skills.
  • Detail oriented.
  • Focused on providing timely, quality administrative support to internal customers.
  • Excellent interpersonal skills.
  • Practices discretion and confidentiality with sensitive information and materials.
  • A positive attitude with the ability to work independently and as part of a team.
