Position Summary:

The Athlete Services Coordinator is the first point of contact for guests at the UFC Performance Institute and is responsible for providing exceptional customer service and creating a welcoming environment for all who enter the facility. This position manages incoming phone calls, responds to inquiries via phone and email, interfaces with athletes and other guests, and ensures that all guests are checked-in and that the appropriate UFC Performance Institute personnel are notified of their arrival. The Athlete Services Coordinator must display a high level of critical thinking and an ability to multitask to manage the facilityâs complex scheduling needs and ensure a smooth flow of operations.

The role plans and coordinates the activities required before, during, and after the activities of the fighters within the academy, being the main point of contact for all multidisciplinary areas to meet the needs that may arise, organizing all extra sports issues (including logistics such as flights, accommodation, budget management, sending information to event organizers), to ensure that the events are carried out successfully and achieve the sporting objectives.

.Responsibilities:
  • Greets all guests who enter the UFC Performance Institute and assists them with their check-in process and notifies appropriate Performance Institute personnel of the guestsâ arrival.
  • Cordially and professionally operates multiple communication platforms, assisting guest and/or staff with inquiries where possible and/or direction to the appropriate Performance Institute or UFC staff member(s).
  • Schedules services based on guestâs needs and staff availability, paying close attention to potential conflicts and ensuring there is no overlap of guests.
  • Receives and sorts incoming mail and packages and coordinates delivery of express mail (FedEx, UPS, etc).
  • Assists with ordering, receiving, stocking, and distributing office supplies.
  • Maintains security by following procedures, monitoring logbook, issuing visitor badges, etc.
  • Maintains the appearance of the UFC Performance Institute reception area, ensuring that it is clean and safe.
  • Conducts tours of the facility.
  • Other duties and tasks as assigned.
  • Requests flights, lodging, transportation, etc. to the travel department for training camps and tours, including receiving emails about fighters, dates of fights, rivals, schedules of activities, etc.
  • Receives and processes the needs of multidisciplinary areas (nutrition, medical, sports, etc.), coordinating meetings with the participation of all areas prior to each week of activities so that the fighters have adequate support from all areas.
  • Supervises the sending of lists of fighters and collaborates with the preparation of the weekly plan, as well as requesting the sports area and multidisciplinary areas the activities and schedules to be carried out during the camp and tours, in order to have a document that is the guide of activities.
  • Maintains communication with fighters to coordinate arrivals, departures, flights, etc., exchanging calls and messages to ensure that players show up on time for training camps and tours.
  • Manages requests during the week (transportation, training schedules, etc.), being the point of contact between the areas involved so that sports needs are met in the best way.
  • Facilitates access for vendors and partners who operate within the Performance Institute (e.g. janitorial, catering, maintenance)

Skills & Experience:
  • Local candidates preferred.
  • Ability to work shifts, including some weekends as required.
  • MMA knowledge helpful however, not required.
  • Two (2) or more years of experience in reception or guest services, preferably in a fast-paced, high-volume environment.
  • Polished and professional with a polite, confident, and service-oriented personality.
  • Excellent interpersonal skills with proven ability to anticipate needs and fulfill guest requests.
  • Ability to work autonomously.
  • Strong time management skills and the ability to multi-task and address the needs of multiple guests simultaneously in a calm, professional manner.
  • Excellent attention to detail.
  • Ability to maintain discretion and confidential information.
  • Excellent proofreading and grammatical skills.
  • Working knowledge of Microsoft Excel, Word and Outlook.
  • Excellent service and hospitality attitude
