Job Purpose The Payroll Specialist is responsible for participating in day‑to‑day payroll activities in Canada and the USA, ensuring payroll is accurate, timely and compliant with federal, provincial and company policies. Key Responsibilities Administer, verify and commit weekly, biweekly and semi‑monthly payroll, including adjustments. Review and approve employee payroll form submissions, including direct deposit details and tax withholding elections. Validate time sheets and expenses in payroll, ensuring compliance with regional and state labour laws and company pay policy. Process other payroll transactions such as off‑cycle adjustments, wage garnishments and government remittances. Process and reconcile Workers’ Compensation payments and audits for each applicable region. Perform monthly and quarterly payroll reconciliations, including taxes and adjustments, in preparation for year‑end reporting. Review and commit year‑end documents; audit employee tax forms (T4, RL1, W2) for accuracy. Ensure end‑of‑employment payments (e.g., ROE, vacation payout) are processed in compliance with applicable legislation. Identify opportunities to improve payroll processes and recommend and implement enhancements to increase accuracy, efficiency and compliance. Generate payroll reports and conduct audits to ensure payroll accuracy. Maintain strict confidentiality of employee records and ensure that all sensitive payroll data is stored securely within the designated payroll system. Skills, Experience & Qualifications Post‑secondary education completed. Proficiency in payroll software (UKG preferred) and Microsoft Office, especially Excel. Detail oriented. Strong understanding of federal, state and provincial payroll legislation and year‑end processing. Registration with a relevant professional payroll association is preferred.
