About the Role:

Sourceability is seeking an Operations Support Specialist/ Office Support Admin who can offer reliable support to global operations. The Operations Support Specialist/Office Support Admin plays a critical role in ensuring the organization's smooth and efficient running. The role is responsible for providing administrative and technical support to sales, purchasing and QA/logistics teams while adhering to the organizations processes and policies. This is a full-time position in office. Essential functions, responsibilities, and duties:

Operations Support Specialist

  • Customer Onboarding- Assist in review, submission and follow up of new customer documents to ensure accuracy and quick approval turnaround.
  • Assist in creating prospects as requested, convert prospects to customers after approvals as requested.
  • Order Management- including creating and entering orders as requested, changing orders per customer request, push/pull and change orders per sales / QA request, quality related changes.
  • Reviewing sales orders for accuracy and contractual requirements and approving to next level.
  • Obtaining and entering HTS and ECCN numbers for compliance review.
  • Communicating and resolving identified hold discrepancies in Order management to ensure delivery schedules are met.
  • Adding ship to addresses and default shipping account numbers.
  • Adding/updating customer requirements.
  • Product allocation support.
  • Assist in loading mass opportunity lists (+5) or completed quote file into ERP system.
  • Managing Intercompany Orders.
  • Releasing from hold during their day to allow for local QA to ship product.
  • Creating Master Item Part Numbers.
  • Reviewing/Managing reports, processes and data administration within Excel, communicate discrepancies to appropriate departments for resolution.
  • Basic Scrubbing, cleaning, combining and merging files as requested.
  • Support Quality processes.
  • Coordinate with logistics to resolve sales order discrepancies.
  • Coordinate changes for sales in all regions.
  • Update Purchase orders as requested.
  • Obtains quotes from 3rd party vendors for value added services.
  • Create Work Orders (value added services) in sales orders as requested.

Office Support Admin

  • Assist in ensuring new employee workstations are prepared for the start date.
  • Assist People & Culture with updated office employee count.
  • Maintain and assign office/parking cards.
  • Sort and forward any delivered mail to appropriate department.
  • Stock and order approved refreshments for the office (food and Beverage)
  • Arrange refreshments/food delivery service in the office for visitors on request.
  • Upon request arrange customer or other office visitor's hotel reservations.
  • Upon request from customers or other offices, arrange transportation, from the airport to the hotel, from the hotel to the office, from the hotel to meetings, from the hotel to dinners.
  • Send notification to regional teams on visitors schedules to arrange mandatory in office participation.
  • Make restaurant reservations as requested.

Skills and requirements:

  • Must be fluent in MS Office and have the ability to learn new applications quickly.
  • College degree or 2 years related Administrative or Office related experience.
  • Must have excellent communication skills both verbal and written. (Professional English Language Proficiency).
  • Must be organized, punctual and be able to multitask.
