Position Summary:


As Contract System Administrator, configure system users, org units and fulfill system requests within the UPSIDE and Winshuttle Contracting tools.

Configure templates for Latin-American Region, train our systems users and follow up the contract expiration dates to ensure full process completion within our contracts system of records by following up contracts signatures, attaching evidence of our contracts or any other written support in compliance to the company policies.

Be the first line of escalation for extraordinary business contract situation and being the liaison between Legal, Controllers and related Business areas for Contracting activities that does not follow the standard templates and clauses.

Stores Carestream ́s legal documents (digital or physical as applicable), confirms Template reviews by legal and controller, partnership with the Business Units for contracting activities by being the first line of contact for nonstandard changes within contracts, follow up the contract expirations dates, terminate contracts (interacting with fixed assets department) and support legal by monitoring and escalating issues to them if nonstandard terms are being followed and a risk is foreseen during the daily operations.


Position Responsibilities:

  • Prepare or adequate the training materials and deliver training to the new users and continue supporting all users with the creation and approval of contracts.
  • Confirm Template reviews by legal and controller take place once a year; notify responsible parties when the annual review is pending.
  • Support "new" templates creation, configure and update as required, ensuring that the appropriate approvals take place.
  • Electronic backup (storage) of all templates and approvals into the designated repository.
  • Keep all Business Entities (customers and employees) updated in the Upside Contracts system by adding or removing user roles or org units as requested by the BU or Sales Manager. This is a Global activity.
  • Keep the contract approvers list updated within the Upside contracting tool (Control list).
  • Assist by preparing all data required for the distribution contract creation (Winshuttle) by Sales Operations, and review and approve documents and generate the pdf file for sign off.
  • Distribution contracts approval follow up through Power bi.
  • If any clause needs to be changed in the contract, per the Sales area requirement, the Contract manager will be the only UPSIDE user authorized by the Legal department to edit any contract clause in the tool or in the Word file. Every change or edition to any clause within a contract MUST be approved for the proper approver.
  • Download signed contract through DocuSign tool, for those contracts that are signed electronically.
  • Task reassignment in UPSIDE as requested by the BU or Sales Manager.
  • Attach signed contracts (pdf) to the Upside contract record and update the contract record status accordingly.
  • Audit if any change has been made in the documents and verify that all of them have the required approval.
  • Amendment creation and approval in accordance to Sales request for any type of contract.
  • Systems review and cleanup in a monthly basis.
  • Run control contracts reports in Upside or Power Bi, to follow up the required actions to ensure alignment to the company regulations (expired contracts, renewals, monitoring, etc.).
  • Contract renewal in the system in case it is required.
  • In the case of a contract termination must be in contact with Sales and Controller


areas to be able to complete the process of the contract, (bill or return the equipment to CSH as needed) and attached all the information and documentation in UPSIDE to complete the contracts records.- Support Contract systems regional launches and mentor new Country Contract Managers after launch (may be possible to back up them in case they be out of the the office).


Required Skills & Education:

  • Bachelor's Degree (administrative) or related experience
  • Fluent English and Spanish (90% or above).
  • Capable to handle critical and confidential info.
  • Analytical and logical, process oriented, organized and disciplined execution adhered to the operation processes
  • Proactive, selfdriven and high level of urgency

Desired Skills:

  • Portuguese written and spoken
  • More than 1 year experience
  • Knowledge in Sci Quest Contracting tool (Upside), Winshuttle (Evolve), DocuSign, Power Bi, ECC (SAP P50), Adobe Acrobat
