Document Control Specialist

Your Profile

  • University Degree in Business Administration or Industrial Engineering.
  • Three or moreyears' experience with focus on document control and/or customer service.
  • Experience working in engineering and/or construction industry in substations.
  • Familiar with PDF Creator, Microsoft Office (Word, Excel, Outlook, Teams).
  • Knowledge on ACONEX, eBuilder, ShareFile, AWS WorkDocs, AODocs or any other documentation management / sharing and transfer service knowledge is a plus.
  • Proficient English Language
  • Good communication skills, teamwork and dedicated

Your Responsibilities

  • Planning/ coordination of the documentation process in EPC substation projects
  • Setting up required templates for use by all parties involved
  • Assurance of user documentation quality and content
  • Efficient document process to assume any retrieval of each document within due time
  • Leading and mentoring team members regarding documentation management matters
  • Support project management in all questions regarding the documentation management
  • Liaise closely with the document suppliers, such as System Engineering, Configuration Management including Interface Management, the Progress Controller, Contract Manager and Commercial Managers
  • Regularly communicate the documentation status and KPIs (key performance indicators) that refer to the documentation
  • Regularly report status to the technical project manager
  • Control of:
  • The complete recording of all technical information, changes, and interfaces in due form, content within time required
  • The completeness of all relevant technical information in due form, content and within time required
  • The contractual certifications, approvals, test reports, acceptance, etc., of the contracted system
  • The conformity of all contracts related documents originated by nominated project participants (Consortium partner, Suppliers) ant third parties
  • Elaborate:
  • The documentation management process, including document coding, formats, and workflow
  • The appliance of the rules and regulations of the EPC TS
  • The editorial instructions for the contractual manuals, handed over to the Client, i.e., Maintenance Manual, Operation Manual, Drawings, etc.
  • Responsibility to comply and / or implement the protocols, policies, guidelines, and proficiencies of the current integral management system (EHS, Quality).
