Document Control Assistant

REPORT TO: Document Control Manager

POSITION OVERVIEW:

This position will be responsible to help the DTCS Manager to manage and coordinate the daily submission of documentation, submitted to the client.

The functional responsibility of the DTCS department is to control the receipt, producing logging-in, scanning, copying, distributing, cataloging, and storage of the documents during the design, procurement and construction stage and through the turnover process at the end of the project.

EDUCATION/TRAINING/EXPERIENCE:

  • Organizational Skills
  • Must be willing to learn and implement new software
  • Detail oriented, self-starter
  • Capable of prioritizing work independently
  • Service and communication skills

ESSENTIAL FUNCTIONS:

  • Read and understand policies and procedures.
  • Be motivated and work productively.
  • Detail-oriented and able to manage multiple tasks with shifting priorities.
  • Follow-up Project deliverables list.
  • Control and maintain distribution List.
  • Working knowledge of disciplines and ability to recognize and categorize documents by type.
  • Apply "Coding of Documents" document to assure documents are coded appropriately.
  • Maintain electronic file structure.
  • Follow the rules defined in the Project Document Control Plan and make sure those rules are understood and respected by every project entities (product lines, external partners and sub-contractors)
  • Understand project EDMS (Electronic Documentation Management System) by insuring first level support to EDMS data base users, updating EDMS users list, request account creation to EDMS Administration team.
  • Organize documents paper storing during project life and document archiving at the end of the project
