Join to apply for the Assistant Property Manager role at VPM SolutionsVirtual Assistant – Property ManagementWe are looking for a detail-oriented Property Management Virtual Assistant to support operations and help deliver an exceptional resident experience.This role supports a luxury rental home operation offering high-end living, premium finishes, smart home technology, and hospitality-level service.As operations continue to grow, we are bringing property management in-house and need a strong virtual assistant who can help maintain smooth processes and high service standards.Role OverviewThe Virtual Assistant will remotely support the property management team by handling administrative tasks, coordinating communication, and ensuring seamless operational workflows.This role is essential in maintaining excellent resident service and supporting an NPS score target of 80% or higher.A strong background in Microsoft Excel is required, including experience creating and maintaining spreadsheets for rent rolls, budgets, expenses, occupancy reports, and other property performance data.You should be comfortable with formulas, pivot tables, charts, and data validation.Key ResponsibilitiesLeasing Support (40%)Process and organize new lease applicationsPrepare lease documentation using Blue MoonSchedule and coordinate property toursTrack and update leads in HubSpot CRMAssist with lease renewals and documentationSend follow-ups to prospective residentsCompile weekly leasing reportsMaintain accurate leasing activity recordsAssist with updating property listingsMaintenance Coordination (25%)Process incoming maintenance requestsCreate and log tickets in HenriMonitor ticket status and follow-up timelinesCoordinate with maintenance techniciansSend resident updates on maintenance progressPrepare weekly maintenance performance reportsEnsure all documentation is organized and filedResident Communication (20%)Respond to non-emergency resident inquiriesAssist with onboarding and welcome processesCoordinate community updatesPrepare newsletters and announcementsSchedule resident events and manage RSVPsMaintain accurate resident profilesRoute complex inquiries to the right team memberMaintain communication logs in HubSpotRequirements2+ years as a Virtual Assistant or administrative professionalProperty management admin experience preferredProficient with CRM systems (HubSpot a plus)Experience with property management software (Rent Manager, Henri, etc.)Strong organizational skillsDetail-oriented with strong record-keeping skillsTech-savvy and proficient in Microsoft OfficeExperience with scheduling and calendar managementSelf-motivated and able to work independentlyProfessional demeanor and customer service mindsetAbility to quickly learn new systemsTechnical RequirementsReliable high-speed internet (minimum: 50 Mbps download, 10 Mbps upload, latency under 50)Quiet, dedicated workspaceUpdated computer with video conferencing capabilityAvailability: 8:30 AM – 4:30 PM Pacific TimePaid Time Off5 paid days per year8 U.S. holidays: New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, Family Day, Christmas Eve, Christmas DaySeniority level: Mid-Senior levelEmployment type: Full-timeJob function: Administrative, Customer Service, and Project ManagementReferrals increase your chances of interviewing at VPM Solutions by 2x#J-*****-Ljbffr
