Position Overview:

Are you looking for an exciting future where each day is different from the next? A position where you can use your personality, organizational skills, and customer-focused mindset to support Real Estate Agents create a flawless experience for their clients?

The Agent Success Coordinator will communicate directly with a designated Real Estate Agent(s) and ownership. This person is critical to the Real Estate Agents’ success as they use company-supplied technology systems to support the Real Estate Agents with Agent onboarding, Client lead nurturing, and transaction services. We are looking for someone who is customer-service oriented, organized, has clear communication, and enjoys a support role.

The ideal candidate will be comfortable independently managing open tasks both in customer service, nurturing leads and relationships, and organizing and completing tasks - all revolving around helping the Agent close more business. They must also be comfortable learning and using technology tools every day. They will follow-up with potential customers, manage CRMs, be responsible for keeping an agent on-task by keeping up with their Project-Management board, and completing transactions and paperwork all designed to help the Agent be more successful

Requirements:

This role will tap into both Spanish and English backgrounds as you communicate to the Agent, potential and current owners and tenants, client leadership and Founders using email, text, phone and various virtual platforms. You will be responsible for administrative and operational support to Real Estate Agents, assisting them in maximizing their productivity and success. You will serve as a crucial link between agents, clients, and various stakeholders within the real estate brokerage.

A minimum of 2 years in a customer-facing or support role utilizing multitasking and communication skills. Knowledge of Project Management software (such as ClickUp, Asana, Monday.com, and Microsoft Project, etc) is a plus.

Requirements

Real Estate Transaction Coordination

- Act as the point of contact for agents and clients throughout the transaction process, ensuring
- deadlines are met and all parties are kept informed.
- Oversee the entire transaction process from contract to closing, ensuring all paperwork is
- completed accurately and timely.
- Resolve any issues that arise during the transaction and escalate concerns to leadership as
- necessary.
- Maintain tight timelines for both buying and selling transactions.

Database Management and Client Engagement

- Manage and maintain agent databases, ensuring accuracy through proper tagging, status updates,
- auto-plans, and follow-up reminders.
- Engage with prospective, current, and past clients to keep relationships active and generate
- business opportunities.
- Set reminders and appointments for agents based on client engagement, and provide weekly reports on agent performance and database metrics.
- Take initiative in cleaning up data, ensuring all records are up-to-date and actionable.
- Escalate concerns regarding client management or potential business loss to leadership.

Agent Onboarding and Technology Adoption

- Facilitate the onboarding of new agents into their respective teams (PODs), ensuring they are equipped with the tools and training necessary to succeed.
- Guide new agents in adding their databases and ensuring data integrity within Propertyse systems.
- Provide ongoing support to agents, ensuring they are comfortable using real estate tools and technology platforms.
- Offer troubleshooting and guidance on using various systems and platforms effectively.

Additional Responsibilities:

- Serve as a key communicator between agents, clients, and internal teams, ensuring all parties stay aligned.
- Provide training and guidance on real estate tools, technology platforms (e.g., Google Sheets, ClickUp), and dashboards.
- Ensure all emails and client requests are acknowledged within a timely fashion, maintaining professionalism and strong client-agent relationships.
- Take initiative in solving problems, offering proactive solutions where necessary.
- Provide administrative support, such as answering phones, scheduling appointments, and managing communications as needed.

Qualifications:

- High attention to detail and accuracy in all tasks.
- Comfortable with learning and using new technology platforms; experience with real estate CRMs and databases is a plus.
- Strong communication and interpersonal skills; must be able to build and maintain professional relationships with agents, clients, and leadership.
- Proactive problem-solving skills and the ability to work independently while managing multiple priorities.
- Fluent in English, with B1/B2 or higher proficiency (required).
- Previous experience in real estate, property management, or a related field is advantageous but not required.

Working/Technology Requirements

- This is a remote role.
- You must use your own computer and have reliable internet.
- Training for all Technology will be completed by the Propertyse Team.
- Communication will occur through Google Meet/Virtual platform, email, and portal messaging.
- This is a contract role that does not include benefits.
- Contracts are completed through Deel and payments are made through Deel in your preferred currency.
- Working hours will vary but are typically 9a-6p (with a break).
- Salary is $700 - $1,000 USD (monthly - split in 2 payments)
