PRIMARY RESPONSIBILITIES:

AGENT CORE COMPETENCIES

Accurate Billing and Accounting

Timely and precise invoicing of customers according to Expeditors and customer requirements. Properly provisioning service provider charges to minimize reserves and following credit approval processes to mitigate risk.

Data Entry Accuracy

Ensuring timely and accurate data entry into operational systems per Expeditors' procedures and customer requirements.

Shipment Processing

Ensuring smooth and timely freight processing according to operational procedures, adhering to customer standard operating procedures, and proactively notifying customers of any issues.

Responsibilities:

Accounts Payable

  • Setting up and maintaining Service Provider accounts.
  • Recording payable headers and distributing to internal staff for allocation.
  • Reviewing and submitting payable details, ensuring correct allocation of expenses.
  • Conducting regular audits on Service Provider payables.
  • Reviewing and approving Employee Expense Reimbursements.
  • Verifying Service Provider payables through reconciliation.
  • Scheduling and preparing payments.
  • Maintaining a filing system in accordance with document retention policies.
  • Identifying problem accounts and following up on exceptions.
  • Assisting with payable tax reporting requirements.
  • Supporting internal control evaluations and audits.
  • Promoting compliance with company policies and regulations.

Accounts Receivable

  • Recording receipts and ensuring no unallocated receipts at month-end.
  • Generating and delivering timely statements.
  • Maintaining detailed collection notes for past-due invoices.
  • Producing exception reports for weekly meetings.
  • Assisting with credit tasks in line with the Global Credit Policy.
  • Supporting the Accounting Department with various projects.
  • Upholding compliance with company policies and regulations.

Requirements

KNOWLEDGE, SKILLS, AND BEHAVIORS:

Knowledge:

  • Familiarity with Expeditors' Company Policies and Procedures.
  • Basic understanding of accounting principles.
  • Proficiency in English.

Skills:

  • Strong MS Office skills, particularly in Excel.
  • Excellent communication skills with a history of providing exceptional customer service.
  • Strong organizational and time management abilities.
  • Competent data entry and computer skills.

TRAINING AND QUALIFICATIONS:

Training Requirements:

  • Completion of 52 hours of training annually, including management/leadership training as needed.

Education and Experience:

  • Minimum of 1 year of experience in Accounts Payable and Accounts Receivable.
