Job Summary

As an Operations Coordinator at the Healthcare Businesswomen's Association, you will play a critical role in ensuring the smooth operation of our inventory management system. You will work closely with our Product Managers and Inventory Management team to develop and implement action plans that meet the needs of our customers.

Key Responsibilities
  • Inventory Coordination: Coordinate inventory levels, including surplus, stock transfers, returns, and slot holds.
  • Branch Communication: Communicate with branches to receive product breakdowns and offer solutions for sales.
  • DED Request Review: Review and approve all DED requests.
  • Vendor Discrepancies: Work with our Accounts Payable team to resolve any vendor discrepancies.
  • Product Information: Respond to product information requests from our sales team and provide them with the necessary Medline preferred cross-reference literature brochures.
  • Overflow Calls: Assist with overflow calls from our Product Support team.
  • Reporting: Review and process back order reports, surplus reports, customer requested product stocking (DEDs/RCIs), HOTSHEETS, and open Purchase Order reports.
  • Returns Processing: Process all returns.
  • AP Issues: Review all AP issues with vendors, including overbill notices, problem tickets, debit memos, and credits, and slot holds.
Requirements
  • Education: High school diploma or equivalent.
  • Work Experience: At least 1 year of relevant business or administrative support experience.
  • Skills: Intermediate level skill in Microsoft Excel and Microsoft Access.
  • Analysis and Math Skills: Intermediate analysis and math skills.
Preferred Qualifications
  • Bachelor's Degree: Bachelor's degree.
