Position Overview
The Credit Card Specialist II is a key customer-facing role within Finance. Under limited supervision, this individual is responsible for accurate and timely credit card processing for HireRight's group of companies. This includes receiving, conducting initial analysis, escalating (as needed), and resolving credit card issues.
Responsibilities
- Interact with customers and internal team members in a prompt, professional, and courteous manner.
- Enable net terms customers to pay online using credit card tools such as payment links and invoice release.
- Liaise with customers to ensure valid credit card details are saved on the system.
- Follow up on accounts with expired or invalid credit cards on file in line with the agreed process.
- Communicate with customers to obtain information on invalid credit card details or payment issues as quickly as possible.
- Research and resolve issues connected to customers with credit card payment terms.
- Analyze and evaluate the applicability of customer inactivation in line with the agreed process.
- Prepare regular bad debt reports for credit card accounts to share with the team for chasing, active monitoring, and deactivations when necessary.
- Produce daily reports from the credit card system with processed transactions and provide them to the Cash Allocation team for entering into the accounting system.
- Update monthly transactions reporting from credit card systems and provide the data to the finance management team.
- Manage open credits applications for all credit card accounts with open balances on a monthly basis.
- Review rejected transactions reports to ensure all accounts are contacted for updated credit card details and deactivated if necessary.
- Ensure monthly imports for automated credit card payments.
- Support the Collection team in delivering services and assist in resolving customer issues.
- Assist finance management members in defining and implementing standardized processes to improve efficiencies, increase performance, and drive continuous improvement.
- Keep the Senior Credit Cards Specialist updated on any issues or problems and consult prior to taking any action outside of immediate remit.
- Explain standard Credit Cards policies and procedures to internal and external stakeholders.
- May assist with mentoring, training, and coaching of new team members within the immediate team.
- Perform other duties as assigned or required in a positive manner. Occasional overtime may be available to meet work demands.
Qualifications
- Preferably 3 years of experience in Accounts Receivable.
- Working knowledge of MS Excel.
- Experience of working with Great Plains and/or General Ledger and/or AP Platform is an advantage.
- Proficient in all aspects of the Credit Card role.
