Job Summary

Arrive Logistics is seeking a highly skilled and experienced Senior Facilities Coordinator to join our team. As a key member of our facilities management team, you will be responsible for ensuring the smooth operation of our facilities, including our Guadalajara office and satellite offices.

Key Responsibilities
  • Serve as the subject matter expert for all facilities systems, implementing and administering digital applications and optimizing facilities capabilities.
  • Develop and maintain strong relationships with key site leaders and vendors, communicating regularly and proactively regarding changes, questions, issues, and outstanding action items.
  • Receive, manage, and process facilities tickets and requests, ensuring problems are resolved quickly and efficiently.
  • Conduct routine quality walks, identifying damages, safety concerns, and quality control for janitorial services.
  • Maintain inventory of facilities supplies, equipment, furniture, and ergonomic equipment, reordering as needed.
  • Ensure all facilities, site, or corporate communications and announcements are approved and in compliance with corporate policies.
  • Train facilities contractors and ensure their performance meets Arrive's standards.
  • Respond to and complete maintenance service requests as assigned, including minor on-site maintenance repairs.
  • Provide KPI reports to the Director of Facilities derived from periodic site and maintenance facilities inspections.
  • Maintain and develop preventative maintenance schedules for optimal function of building systems, upkeep of landscaping/grounds, care of furniture, finishes, and common areas, ensuring recurring facility services provide an occupancy experience consistent with contract provisions and expectations.
  • Coordinate and execute private office and conference room refreshes, new hire desk preparation, standing desk setups, and support IT equipment relocation.
  • Implement directed cost controls associated with maintaining the facility, equipment, and furnishings to assure operational efficiencies.
  • Identify and report on compliance and standards with building codes, environmental, health, and safety standards, and office cleaning and organization requirements.
  • Support effective health, safety, and emergency preparedness programs in collaboration with regional partners and key internal operational groups.
  • Coordinate facilities management service agreements, validate contract requirements, and ensure they are in compliance with company procurement and corporate policies.
  • Act as the point of contact with site Property Managers, maintaining all Arrive and vendor COI requirements, and implementing/enforcing all property rules and regulations.
  • Participate in and support construction or renovation projects as necessary and in collaboration with the Director of Facilities and assigned Project Management Team.
  • Administer space planning services and provide recommendations for departmental moves, relocations.
  • Participate in crisis management and disaster recovery and restoration services for events affecting facilities within the assigned region, collaborating with the Security Manager to develop and implement Emergency Response SOPs and training.

Requirements
  • Strong background and experience in facilities management.
  • Thorough understanding of building maintenance, systems, and construction.
  • Strong fluency in Spanish and English.
  • Valid Driver's License with satisfactory driving record.
  • Working knowledge of word processing and spreadsheet software and ability to create reports and tracking.
  • Ability to work independently with minimal supervision and ensure work-related responsibilities are completed accurately and in a timely manner.
  • Strong verbal, written, analytical, and persuasive skills and ability to interact effectively with all levels of employees, customers, management, and contractors.
  • Ability to work effectively in a team-oriented, fast-paced, and high-demand environment.
  • Ability to maintain a high level of confidentiality while working with highly sensitive information.
  • Ability to maintain a professional and positive manner.
  • Ability to handle a fast-paced environment with heavy workloads and deadlines.
  • Ability to adapt to changing priorities and work well under pressure.
  • Strong communication skills with the ability to speak effectively and exercise judgment in communications with leadership and employees.
  • 3-5 years of experience in commercial facilities or property management in a corporate atmosphere.
  • 1+ years of project management, vendor management, maintenance experience, required.
  • 1+ years of space occupancy experience managing medium to large site moves, required.
  • Previous experience creating and/or managing preventative maintenance programs required.
  • Previous experience managing and maintaining vendor relationships.
  • Able to communicate and collaborate effectively with members at all levels of the company.
  • Proven ability to prioritize and complete projects and objectives from start to finish in a fast-paced environment.
