Regional Administrative Coordinator

This position will provide administrative support to the LATAM Regional Leaders, who are based in different countries. The role requires managing administrative and analytical tasks, travel arrangements, meetings coordination, and maintaining agendas. Confidentiality is essential in this position.
Key Responsibilities
- Manage Outlook calendars and schedule appointments and meetings.
- Coordinate and update meeting requests as needed.
- Plan complex offsite meetings and events with Regional teams throughout Latin America. Partner with Procurement for vendor negotiations and ensure budget adherence.
- Minute and summarize meetings, preparing necessary materials in advance.
- Reserve conference rooms and coordinate logistics with Office Services.
- Organize and coordinate international and domestic travel arrangements for Regional Leaders.
Additional Responsibilities
- Prepare and organize itineraries for incoming visitors and provide administrative support as needed.
- Process monthly expense reports for Regional Leaders and manage related bills and invoices.
- Order office supplies and handle procurement tasks as required.
- Support organizational announcements, special days, and translations when necessary.
- Assist with projects, including reports, spreadsheets, and presentations.
Requirements
- Minimum 3 years of executive administrative experience.
- English and Spanish language required, Portuguese desired.
- Advanced PowerPoint, Outlook, and Excel skills.
- Highly organized, detail-oriented, and able to multitask effectively.
