Job Summary

The Accounts Payable Specialist plays a critical role in our company's financial operations, responsible for processing all vendor and supplier payments through online electronic banking and manual systems. This position requires extensive interaction with external vendors, service providers, and internal departments, ensuring timely, accurate, and effective payment processing.

Key Responsibilities
  • Code, verify, and electronically enter accounts payable data into our system, adhering to guidelines for invoice coding to GL expense accounts.
  • Review checks and vouchers to verify correct payment before signature by Controllers, ensuring accuracy and compliance.
  • Reconcile subsidiary vendors' ledger with account payable total and with GL, maintaining financial integrity.
  • Compile and prepare reports and records required by management or governmental agencies, providing transparency and accountability.
  • Process payments timely, utilizing early payment discounts, and properly match purchasing and receiving documents.
  • Analyze major accounts and prepare monthly reconciliation of subsidiary accounts to GL, identifying areas for improvement.
  • Utilize company record-keeping systems, forms, policies, and procedures related to billing, processing payments, and other accounts payable activities.
  • Identify and resolve problems and inconsistencies, suggesting corrective actions to enhance operations and service.
  • Ensure strict confidentiality of all financial records, maintaining the trust of our stakeholders.
