About the Role:

We are seeking an experienced Administrative Support Specialist to provide high-level administrative support to the Managing Director of Mexico (MD) and the Sub-Regional Director for LATAM (RD).

The successful candidate will be responsible for ensuring seamless coordination of meetings, events, and projects, while maintaining confidentiality and handling sensitive information with discretion.

Key Responsibilities:
  1. Meeting and Event Coordination:
    1. Coordinate logistics for meetings, events, and conferences, including venue selection, catering, and audiovisual equipment.
    2. Prepare and distribute meeting materials, including agendas, minutes, and supporting documents.
    3. Arrange travel and accommodation for executives and guests as needed.
  2. Administrative Support:
    1. Provide high-level administrative support to the MD/RD, including calendar management, email management, and document preparation.
    2. Develop and maintain spreadsheets, databases, and other tools to track projects, deadlines, and progress.
    3. Coordinate with internal stakeholders to ensure effective communication and collaboration.
  3. Communication and Liaison:
    1. Serve as a primary point of contact for executives, clients, and stakeholders, responding to inquiries and resolving issues promptly.
    2. Develop and maintain relationships with external vendors, partners, and suppliers.
    3. Prepare and edit correspondence, reports, and presentations as needed.
Requirements:
  1. Bachelor's degree in Business Administration, Communications, or a related field preferred.
  2. Proven experience as an executive assistant or in a similar administrative role.
  3. Exceptional organizational and time-management skills.
  4. Strong written and verbal communication skills both in English and Spanish.
  5. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Teams.
  6. Ability to work independently and as part of a team.
  7. High level of professionalism and discretion in handling sensitive information.
  8. Flexibility to adapt to changing priorities and work demands.
  9. Proactive mindset with a strong focus on follow-through and accountability.
