Job Summary

The Billing Manager is a critical role within Vantiva, responsible for overseeing all Nashville billing functions. This includes normal customer billings, freight claims processing, sales reporting, month-end close support, Internal Control compliance, audits, and ad-hoc projects as required.

Key Responsibilities

  • Manage all billing processes in the Nashville facility, ensuring timely and accurate processing of customer invoices.
  • Oversee freight invoice processing, including freight claims and discounts, to ensure optimal revenue realization.
  • Generate monthly sales analysis reporting to provide insights into revenue trends and performance.
  • Support Finance during month-end close, including revenue and cost accruals calculations, to ensure accurate financial reporting.
  • Build and maintain effective business partnerships within the organization, fostering collaboration and communication across departments.
  • Ensure customer contract billing terms are followed, maintaining a high level of customer satisfaction.
  • Collaborate with functional department heads (i.e., Pricing and Contracts / Sourcing) to resolve credit & collection disputes, ensuring prompt resolution and minimizing financial impact.
  • Support external audit requests as well as the annual Internal Controls audit process, ensuring compliance with regulatory requirements.
  • Conduct various ad-hoc reporting and analysis to provide insights into business performance and identify areas for improvement.

Requirements

  • Bachelor's degree in finance, accounting, business, or relevant discipline.
  • 5+ years' experience in a senior or lead billing role, with a high degree of proficiency in MS Office (Word, Excel, Outlook, and PowerPoint), web-based, and Windows-based software.
  • Proficient with accounting software required (Oracle/PRMS/SAP Business Warehouse a plus).
  • Experience in a distribution environment highly preferred.
  • Excellent professional-level written and verbal communication skills, with the ability to interface and communicate effectively with multiple functional groups, geographic regions, different levels of internal and external client organizations.
  • Excellent interpersonal skills, with the ability to elicit cooperation from a wide variety of sources, including upper management, clients, other departments, and interact with various work behavior styles.
  • Highly self-motivated, with the ability to handle multiple projects and deadlines within an ever-changing, fast-paced environment.
