Job Summary:

We are seeking a highly organized and tech-savvy Virtual Operations Coordinator to join our remote team. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day functioning of our business.

Key Responsibilities:

  1. Document Management: Store, organize, and maintain accurate records of company documents and files.
  2. Data Entry and Management: Prepare lead lists, meeting minutes, transcribe audio recordings, prepare payroll information, and organize research notes using our CRM system.
  3. Research and Procurement: Conduct research on products, purchase goods, and secure samples as needed.
  4. Marketing and Sales Support: Store, update, and collect information for marketing and sales campaigns through our CRM system.
  5. Financial Management: Create and send statements or invoices, track payments, and record company expenses.
  6. Research and Reporting: Gather data on trends, industry best practices, and other publicly available information and prepare reports on the findings.
  7. Project Monitoring and Communication: Monitor projects, conduct internal communication, and organize company data.
  8. Calendar Management: Coordinate team calendars, prevent scheduling conflicts, and ensure clients are on time and prepared for meetings.
  9. Travel Arrangements: Prepare itineraries, book hotels, rental cars, etc.
  10. Client Communication: Convey information to incoming calls, make calls for appointments, and conduct informational inquiries.
  11. Administrative Support: Reply to emails, follow up on correspondence, organize inbox as per client preferences, and notify clients about important emails.
  12. Ad Hoc Tasks: Perform other administrative tasks as needed.

Requirements:

  1. Experience: At least 6 months to 1 year of experience as a Virtual Assistant.
  2. Education: At least 18 years of age and completed Senior High School.
  3. Communication Skills: Excellent phone, email, and instant messaging communication skills.
  4. Organizational Skills: Solid organizational and time management skills.
  5. Availability: Able to work on a graveyard shift.
  6. Technical Skills: Tech-savvy and familiar with current technologies, such as desktop sharing, cloud services, and VoIP.
  7. Software Skills: Experience with word-processing software and spreadsheets (e.g., MS Office).
  8. Calendar Management: Knowledge of online calendars and scheduling (e.g., Google Calendar).
  9. Attitude: Proactive attitude and willingness to be trained.

Technical Requirements:

  1. Hardware: USB Headset with Noise Cancellation feature, Working Webcam, Main and backup computer: at least 1.8 GHz processor with at least 4GB RAM.
  2. Internet Speed: Main Internet Service Speed: at least 25 Mbps wired connection, Backup Internet Service Speed: at least 10 Mbps.
