Job Overview:
We are seeking a detail-oriented and experienced
Assistant Property Manager
to join our team. The primary responsibilities of this role involve working in legal, accounting, and operations, able to catch small things that are missed or should be added to the master lease template and to request the proper permissions for importing. Also Getting the buildings LEED certified. Having time to make small decisions on a macrolevel to ensure the buildings get and stay current with technology.
Responsibilities:
Run & Digitally File Yardi Reports (Rent Roll, Rent Up, Budget Comp, Weekly AP/AR, etc.)
Code Invoice Workflow for approval
Coordinate vendors for engineering
-Digitally file annual testing and reports
Review and file scheduled service summaries
Follow up with vendors on invoices and payments
Coordinate work orders, email tenants to confirm satisfied with completion, close out work orders
Review/Compare Bids to call out any difference in scope, pricing, warranty, etc. (First looks and compile for me)
Input utility data for all properties for Energy Star
Access Control – Program schedules, users, etc.
Update/create standard forms for all properties (such as those included in welcome packs, used to schedule moves with the building, etc. – integrate with work order system)
Input all assets/equipment into work order system and log (past and moving forward) maintenance, dates of replacements, etc.
Keep building information, system log Ins/passwords, building lockbox codes up to date
Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience as an Assistant Property Manager
- English is a must.
